Helix Community Schools is looking for a highly qualified Administrative Assistant that provides high-level administrative support to executives helping them manage their schedules communications and day-to-day operations. The role requires strong organizational communication and problem-solving skills along with discretion and professionalism.
Key Responsibilities:
- Calendar & Scheduling: Manage executive calendars schedule meetings and coordinate travel arrangements.
- Communication Management: Handle emails phone calls and other correspondence on behalf of the executive.
- Meeting Coordination: Organize meetings prepare agendas take minutes and follow up on action items.
- Document Preparation: Draft reports presentations and other business documents.
- Office & Project Management: Oversee office operations and assist in managing business projects.
- Confidentiality & Discretion: Handle sensitive company and executive information with confidentiality.
- Stakeholder Liaison: Act as a bridge between the executive and internal/external stakeholders.
- Event Planning: Organize company events conferences or client engagements.
- Problem-Solving & Decision Support: Assist in decision-making by providing relevant research and insights.
Skills & Qualifications:
- Strong organizational and time-management skills
- Excellent written and verbal communication
- Proficiency in office software (Microsoft Office Google Suite etc.)
- Ability to multitask and prioritize tasks effectively
- High level of professionalism and discretion
- Experience with travel coordination and event planning
- Strong interpersonal skills for liaising with executives clients and teams
