Job Description
The Student Events and Activities Coordinator will support the development planning and execution of student events and activities that enhance the overall student experience. This role focuses on fostering student engagement promoting inclusivity and ensuring the success of a diverse range of campus activities. This position requires strong organizational skills a passion for student engagement and a commitment to creating a vibrant campus community. The Student Events and Activities (S.E.A.) Coordinator assists in the planning coordination and execution of robust late-night programming/events (Orange After Dark) day-time programming (Lets Be Engaged) pop-up events Senior Celebration and Traditions. The Coordinator plans implements and supervises events including scheduling logistics purchasing contracting marketing/promotion and oversight of student volunteers. The Coordinator is also responsible for program assessment and utilizing assessment data to make recommendations for program improvements. The Coordinator works non-traditional business hours during the academic year with a modified weekly schedule include up to two evenings per week up to 2 AM on Thursday Friday and Saturday evenings.
Responsibilities
Plan and implement events on-campus and off-campus through the Orange After Dark ( OAD ) and Lets Be Engaged programs including pop-up programs/events. Supervise Orange After Dark ( OAD ) Event Leads Event Managers and volunteers. Handle logistics for events including booking venues arranging catering and coordinating transportation. Create and edit vendor contracts to ensure adherence to all safety transportation and risk management policies. Ensure transportation is arranged through University-approved vendors in coordination with the Parking & Transportation Department. Address any safety concerns as they arise including bus/transportation coordination. Serve as the primary adviser to the Syracuse University yearbook. Support student editors and staff in all aspects of yearbook development including content planning layout editing and production timelines. Provide guidance on project management communication and leadership development. Act as a liaison between the yearbook team and campus departments to ensure the book reflects a comprehensive and inclusive view of the Syracuse University student experience. Oversee all aspects of program and event-specific marketing including flyers kiosks banners t-shirts and other promotional items. Maintain events calendar through Cuse Activities database the University calendar and the Student Engagement website to promote engagement opportunities to students. Maintain a strong online social media presence. Serve as a liaison/collaborator with other offices within the Division of the Student Experience (program development and volunteers). Work with other offices at the University on program development and implementation such as Risk Management Public Safety Parking & Transportation Catering/Dining Services Disbursements Purchasing Box Office and the Comptrollers Office. Assist in managing event budgets and tracking expenditures. Ensure events are cost-effective and stay within budget. Identify and utilize resources to enhance event offerings. Gather feedback from events to evaluate their success and identify areas for improvement. Maintain accurate records of event details attendance and feedback via managing SUID scanning process and ticket sale results. Assist in creating reports on event outcomes and recommendations for future improvements.
