Job Description

Job Summary:The Administrative Assistant the smooth and productive operational support to the administrative departments. Providing a positive experience for all by welcoming staff students and families into the school. Providing support in person on the telephone and via email to families and vendors while attending to needed tasks within the reception : Approx. 40 hours/week 7:30AM-3:30PM M-F including a 30 minute daily lunch break plus a weekly 2.5 additional hours on or offsite for planning Detailed Responsibilities:Office/School OperationsProvide excellent customer service and maintain a welcoming environment Greet visitors and notify team upon arrivalAnswer phones and direct calls as appropriateAct as a liaison with building management for issues and/or repairsOrder all supplies for the staff kitchen track and manage inventory restocking as neededOrder all office supplies needed for the schoolOrder food for school special events as requested by your supervisor Mentoring and assigning tasks to students in the post high school administrative internship program when students are assigned to the internshipMay need to complete offsite tasks (post office stores UPS school lunches etc.)Coordinate and oversee the School Lunch Program in collaboration with Waltham Public Schools and order forms and order lunches weeklyPick up lunches daily from Walthams Kennedy Middle School bag lunches upon arrival back to Milestones and ensure staff pick up student lunches Process all lunch order charges on the My School Bucks app on the Windows Tablet Troubleshoot any lunch order related issuesMaintain orderly appearance in shared spaces lobby staff kitchen student kitchenMay be responsible for coordinating inspections for the school (Health/Fire/Fire extinguishers/etc) Including emailing and filing online paperworkMay be responsible for overseeing on schedule inspection of school vans during scheduled timeAdministrativeUpdate daily student attendance through ALMA (student information system) and send monthly notices to districts regarding attendanceUpdate transportation binder for any new students or student departuresKeep family directory up to dateEmail therapist Medicaid forms for studentsSupport marketing through mailings and coordination of eventsEmail Progress Reports to families and districtsOther projects and tasks as admissions in collection of referral materials create electronic folder for student and put all evaluations sent with referral in the folderGeneral filing for school documentation and student filesHuman Resources SupportUpdate employee rosters to reflect new hires staffing changes and phone extensions Assist with interviews and new hire by answering questions providing onboarding support and greeting onsite visitors Maintain confidentiality and professional discretion regarding any matters of HR you may be assisting withQualifications/Requirements:Maintain confidentiality and professional discretion regarding any matters you may be assisting withStrong prioritization skills and demonstrated ability to manage multiple competing tasks in a timely mannerDemonstrated positive customer service orientation Experience in an administrative support roleEfficient with technology spreadsheets microsoft suite google Workspace email scanning faxingHigh attention to detailAbility to take initiative and operate both collaboratively and independentlyHigh School Diploma required Bachelors degree preferredSchool Setting experience is a plus Experience with special needs population is a plus MILESTONES PROVIDES EXCELLENT BENEFITS INCLUDING:Competitive salaryHealth dental and vision InsuranceApproximately 7 weeks vacation (approximately 6 weeks when school is not in session and 5 days of your choice)Other time off (10 holidays 8 days of sick time 2 days of personal time birthday holiday bonus!)Long term disability and life insurance401k with discretionary company match1 week of paid leave for bonding & 3 weeks of paid leave for recovering from childbirth20% off on campus tuition and 10% off online tuition at Regis College discount at Cambridge CollegePaid professional developmentVarious discounts at local retailers and various entertainment venues that Milestones partners withHalf days on Fridays in the summerSupportive and collaborative co-workersSalary: $48000-$55000 Equal Opportunity EmployerMilestones Day School (Special Ed.
