Job Description

The PMO is internally focused in IFS delivering internal projects across IFS sales organisation to support in planning & executing various projects that span across various departments and regions globally within the company. Examples of projects include:- global customer upgrade initiative to ensure all customers upgrade to the latest version of our software; global enablement & readiness of the sales and marketing organisation for a new release of our software. Experience leading business projects and managing multiple stakeholders is required.
This role requires strong leadership coordination and communication skills to ensure projects are completed on time within scope and budget and are delivered with project excellence and in alignment with business goals.

Duties and Accountabilities 

  • Leadership and Team Management:
    • Set clear goals and expectations for the team and monitor performance.
    • Foster a collaborative and high-performance work environment.
  • Project Planning and Execution:
    • Define project scope goals and deliverables in collaboration with senior management and stakeholders.
    • Develop detailed project plans including timelines resource allocation and risk management.
    • Lead project teams to ensure successful project delivery.
  • Stakeholder Management:
    • Engage with internal stakeholders to gather needs and ensure alignment with business objectives.
    • Facilitate regular project meetings and provide updates to stakeholders.
    • Manage stakeholder expectations and address any concerns or issues.
  • Resource Management:
    • Coordinate with department heads to allocate resources effectively.
    • Monitor project budgets and ensure efficient use of resources.
    • Identify and resolve resource conflicts and dependencies.
  • Risk and Issue Management:
    • Identify potential project risks and develop mitigation strategies.
    • Monitor and manage project issues ensuring timely resolution.
    • Maintain a risk and issue log and report on status regularly.
  • Process Improvement:
    • Implement best practices and methodologies to enhance project management processes.
    • Continuously seek opportunities to improve project efficiency and effectiveness.
    • Ensure compliance with company policies and industry standards.
  • Reporting and Documentation:
    • Create and maintain detailed project plans and dashboards of your projects underway and ensure timeous and regular communications with key stakeholders on project progress.
    • Prepare and present project status reports to senior management and stakeholders.
    • Maintain comprehensive project documentation including plans reports and logs.
    • Conduct post-project evaluations and document lessons learned.
    • Provide ad hoc reports and analysis on request.

  • Skilled in analyzing project data to extract insights and support informed decision-making.
  • Strong organizational skills; able to identify inefficiencies and delivery challenges and recommend process improvements.
  • Effectively communicates complex information to technical and non-technical stakeholders.
  • Takes ownership of project activities and drives execution with minimal supervision.

Qualifications :

  • Certified in PMP PRINCE2 or an equivalent project management framework.
  • Bachelors degree (or equivalent) in Business Information Technology or a related discipline.
  • Experienced in managing several concurrent internal projects with exposure to international operations.
  • Solid understanding of project management methodologies and tools.
  • Strong communication and interpersonal skills with a collaborative working style.
  • Proven ability to perform effectively in fast-paced and dynamic environments.
  • Proficiency in Microsoft Excel; experienced with Microsoft Project JIRA and Asana.
  • Skilled in Microsoft PowerPoint and other Microsoft productivity applications.
  • Professional fluency in English (written and spoken); additional languages are an asset.
  • Proficient in Power BI PowerApps or similar data and automation tools.
  • Familiar with CRM systems; knowledge of IFS Cloud is advantageous.
