Job Function:
The Maintenance Support Assistant provides administrative support and customer service related to maintenance and property management. Responsibilities include monitoring and processing maintenance work orders and expenses performing general inspections assisting with cleaning of shops offices and apartments in preparation for rental and submitting appropriate reports.
Essential Functions:
Answer phones direct calls and assist residents at the property location.
Process correspondence reports and other materials for the Maintenance Manager.
Develop and maintain property file/records systems including uploading and maintaining SharePoint files for inspections and certifications.
Assist with work order and purchase order creation closure organization and data entry.
Assist with reviewing budget reports vacancy and month-end reports and work order productivity reports for HUD submissions and Housing Operations Scorecards.
Assist with scheduling and coordinating vendors with the Maintenance Manager.
Assist with tracking equipment stock and ordering new supplies as necessary; assist with creating/approving purchase orders ensuring goods are received and documenting invoices/receipts.
Maintain confidentiality of tenant information files and correspondence in accordance with OHA policies.
Understand and communicate OHA policies and procedures including admissions and continued occupancy policies to applicants residents and visitors.
Prepare necessary information for meetings with maintenance staff and residents.
Schedule meetings for Housing Operations staff with applicants residents or other departments as applicable.
Additional Responsibilities:
Respond to telephone and email inquiries concerning properties as needed.
Assist with special projects as assigned.
Occasionally work evenings and weekends especially during emergencies.
Assist in other areas of Housing Operations as directed.
Perform other duties as required or assigned.
Qualifications:
High school diploma required; Associates Degree in a related field preferred.
12 years of office experience including administrative and customer service experience.
Excellent computer skills required.
Thorough knowledge of business English spelling and punctuation.
Proficiency in Microsoft Word Excel Outlook and PowerPoint.
Ability to understand and follow oral and written instructions.
Valid drivers license with a good driving record; must be insurable under the OHA auto insurance policy.
Ability to establish and maintain effective working relationships with residents co-workers consultants and contractors and to communicate effectively with people from diverse socio-economic backgrounds.
Working Conditions:
Work is performed in an office setting amid normal conditions of dust odors fumes and noises and involves considerable public contact.
Abilities:
Ability to sit stand and walk up to 100% of the time; and reach stoop squat push pull and type up to 25% of the time.
Ability to move objects weighing up to ten (10) pounds up to 33% of the time.
The noise level in the work environment is usually moderate.
