Job Description

The Service Administrator plays a key role in ensuring smooth operations within our service department. This position supports the service team by managing administrative tasks and maintaining accurate service records. The ideal candidate is detail-oriented tech-savvy and thrives in a fast-paced environment.

This is an in-office position at 5597 Power Road.

KEY RESPONSIBILITIES:

  • Managing service records and documentation Geotab Annual Safety Maintenance (PMA PMB PMC)
  • Processing work orders including creating updating and closing them to track service activities.
  • Maintaining POs creating and closing them.
  • Ordering and tracking inventory of parts and supplies needed for service operations.
  • Generating invoices and ensuring accurate billing for services rendered.
  • Billing of escort services to MSL for equipment moves.
  • Works with other administrative staff and assists when needed
  • Processing of expenses
  • Maintaining log of vehicle damages and abuse
  • Payroll entry

QUALIFICATIONS:

  • 3 Years in an administrative position vehicle service industry considered an asset
  • Ability to work in a fast paced environment
  • High attention to detail
  • Previous experience in automotive trucking or equipment considered and asset
  • Geotab and ELD experience considered an asset
  • Must have a valid drivers license
  • Strong proficiency in Microsoft Office Suite (Excel Word Outlook)
  • Experience with ERP/MRP systems and CRM platforms (e.g. SAP)
  • Excellent communication and organizational skills
  • Ability to multitask and prioritize in a dynamic environment
  • Prior experience in service administration or customer support is preferred
