Fred Hutchinson Cancer Center is an independent nonprofit organization providing adult cancer treatment and groundbreaking research focused on cancer and infectious diseases. Based in Seattle Fred Hutch is the only National Cancer Institute-designated cancer center in Washington.

The Womens Health Initiative (WHI) is a major long-term research program designed to address cardiovascular disease cancer and osteoporosis the most frequent causes of death disability and poor quality of life in postmenopausal women. It is one of the largest U.S. prevention studies of its kind and it is currently in its third extension. The WHI Clinical Coordinating Center (CCC) is located at Fred addition to the WHI CCC NIH has recently launched a program for a new coordinating center and Fred Hutch has been chosen to coordinate this national effort. The objective is to provide scientific statistical and cultural expertise and coordination support to establish a population-based cohort focusing on Asian Americans Native Hawaiians and Pacific Islanders (MOSAAIC Multiethnic Observational Study in American Asian and Pacific Islander Communities) studying health conditions and disease burden that are unique and common for this population.

The Womens Health Initiative is seeking an experienced full-time Administrative CoordinatorI. TheAdministrative Coordinator Iis responsible for providing administrative support of the WHI and MOSAAIC Ancillary study Committees (ASC). The incumbent works in a team under minimal supervision and is expected to use initiative and sound judgment in carrying out complex duties within the framework of the WHI-CCC and MOSAAIC policies and procedures and as directed by the WHI and MOSAAIC Committee Chairs.

Responsibilities

  • Oversee Committee Support including preparation and maintenance of documentation for study committees.
  • Coordinate monthly conference calls for off-site PIs including maintaining Committee pages on SharePoint updating agendas conference call minutes and calendars.
  • Create response memos adjusted according to the Ancillary Study Committee discussion.
  • Monitor Ancillary Study inboxes serve as a central point of contact to answer questions and resolve problems acting as a liaison with Center staff and outside individuals/organizations escalating issues as needed.
  • Intake of Ancillary Study applications: Identify necessary components of submissions confirm required items are in place. Communicate issues with staff and investigators as needed.
  • Willingness to learn Ancillary Study policy including related forms and applications. Responsible for saving and tracking version updates revising forms and keeping external website updated. Take initiative to make suggestions collect updates from others route for approvals.
  • Update and maintain study database.
  • ShepherdingAncillary Study proposal through the approval process coordinating with outside groups
  • Handling Ability to research and handle complex situations and create appropriate email responses.
  • Produce regular in-house reports of Ancillary Study activity as needed.
  • Request data transfer agreements for funded Ancillary Studies and monitor progress.
  • Take part in developing new procedures providing input to study databases and initiating tracking systems.
  • Perform other special and routine administrative tasks and projects as needed including providing backup support for other unit members.

Qualifications

MINIMUM QUALIFICATIONS:

  • Requires High School/GED and five years of administrative or relevant experience OR equivalent education/experience.


PREFERRED QUALIFICATIONS:

  • Bachelors degree.
  • Advanced skills in Microsoft Office Suite.
  • Experience with MS Teams and other virtual platforms.
  • Reliable and ability to meet commitments consistently.
  • Predictable and dependable attendance.
  • Interest in public health research and reviewing research protocols.
  • Strong organizational skills and attention to detail and accuracy. Ability to manage multiple projects and meet deadlines.
  • Strong computer skills including word processing database programs and spreadsheets.
  • Competency working with individuals in remote work setting.
  • Ability to learn new platforms as needed e.g. in order to coordinate hybrid and virtual events.
  • Excellent verbal and written communication skills and the ability to communicate effectively with personnel from a variety of levels.
  • Ability to work independently and as a part of the team.
  • Ability to prioritize effectively planning/organization of ones own work
  • Initiative: Use resources to try to solve a problem or answer a question
  • Willingness to learn. Teachable/quick learner
  • Flexibility

The hourly pay range for this position is from $30.65 to $43.64 and pay offered will be based on experience and qualifications.
