Job Description

This is a remote position.

KEY RESPONSIBILITIES:
  • Assist with basic legal drafting (client agreements correspondence and simple legal documents) under supervision
  • Support document preparation and formatting aligned with firm style guides
  • Handle ad-hoc legal and administrative tasks as required
  • Create and manage a client birthday email list and send scheduled birthday greetings
  • Create and schedule content for Instagram and Facebook including engaging with relevant pages to grow following
  • Coordinate promotions and seasonal campaigns as needed
  • Maintain and update our Google Business page
  • Research and identify online directories or databases for potential listing opportunities
  • Review legal workflows and documents provided via our ByLawyers subscription
  • Translate workflows into Smokeball by assigning tasks to relevant team members (e.g. Lawyer Paralegal)
  • Adapt and input precedent letters and documents from ByLawyers into Smokeball using our internal style guide
  • Work with attention to detail to ensure templates are consistent professional and ready for use
  • Assist in creating and documenting internal procedures to streamline processes
  • Provide additional administrative support as required by the team
  • Assist with ad-hoc office tasks and client follow-ups


Requirements

  • Strong interest in legal administration or paralegal work (prior exposure ideal but not essential)
  • Excellent written and verbal communication skills
  • Good working knowledge of Microsoft Office (Word Excel)
  • Familiarity with social media platforms (Instagram Facebook) and basic content creation
  • Strong attention to detail and ability to follow style guides
  • Experience in Smokeball is advantageous but not required

Skills & Qualifications: Bachelor s degree in Marketing or related field required. 2+ years of experience in marketing administration or data management roles. Proficient in CRM systems, ideally Zoho CRM, with proven experience in data handling, tagging, and segmentation. Strong analytical skills with the ability to interpret campaign data and provide actionable insights. Excellent online research capabilities, able to find and organise relevant prospect data efficiently. Attention to detail with a focus on data accuracy and integrity. Solid written and verbal English communication skills. Ability to work independently, manage priorities, and meet deadlines in a remote working environment.
