Location: School of Engineering and Physics Hours: Full-Time Hourly Pay: $18.33 - $24.64/hr.
Job Summary: The office manager manages the diverse operations and needs of the School of Engineering and Physics including supervising procedural and organizational functions communications and relations and support of academic staff.
Duties and Responsibilities:
Facilitates a welcoming and positive departmental ethos among students faculty and guests
Assists the dean with managing accreditation-related processes
Assists the dean with industry advisory board communication
Maintains departmental websites and social media accounts
Provides office coverage during regular office hours including handling general departmental phone calls redirecting messages as necessary sorting and distributing mail welcoming visitors etc.
Types correspondence departmental meeting minutes and specific assignments
Manages the deans calendar including coordinating prospective student visits with Enrollment Management
Fulfills the building coordinator role for Lynn Wood Hall
Secures reservations and coordinates food event tickets and transportation and clean-up for events activities meetings and banquets
Designs posters and promotes events and activities
Processes new-hire paperwork for adjunct instructors and student workers
Supports faculty in their role as academic advisors
Aids full-time and adjunct faculty with campus and departmental operations
Processes electronic timecards for student workers
Orients and instructs student workers on office procedures and equipment
Purchases departmental supplies subscriptions equipment etc.
Allocates credit card purchases and maintains records
Assists student workers with care of bulletin boards as needed
Supervises the use of equipment in the faculty workroom including servicing of equipment and cleaning of the room
Performs other business-related functions as assigned
Other relevant duties as required
Special Requirements:An expressed commitment to Jesus Christ the teachings and mission of the Seventh-day Adventist Church an SDA church member in regular standing.
Education and Experience: High school diploma required. Bachelors degree preferred.
Qualifications: Strong communication and customer service skills. Self-directed and efficient professional who assumes ownership of assigned duties. Highly organized detail-oriented and creative problem-solver. Flexible and able to maintain a positive disposition while working with internal and external customers. Computer proficiency and ability to efficiently learn new software systems. Working knowledge of office equipment.
Typical Physical Demands: Requires sitting standing bending and reaching. May require lifting up to 25 pounds. Requires manual dexterity sufficient to operate standard office machines such as computers fax machines calculators and telephone. Requires a normal range of hearing and vision.
Working Conditions: Essential tasks are performed under standard office/school conditions with little or no noticeable discomfort. Work area is well lighted and ventilated.
