Job Description

Position Summary:

The Coordinator of Athletic Recreation Engagement and Athletic Events provides leadership and operational support for campus recreation programs and athletic event execution. This position enhances student life through intramural and recreational programming while also ensuring successful planning setup and execution of athletic events.

Essential Functions:

Recreation and Intramural Leadership

  • Develop organize and evaluate recreation and wellness programs including intramural leagues outdoor adventures and campus fitness events.
  • Promote student engagement by coordinating marketing and outreach efforts to ensure diverse participation.
  • Supervise and train VU Rec interns and student leaders in intramural and recreation programs.
  • Coordinate logistics and space use for games fitness events and activities across campus venues.
  • Manage intramural league operations including scheduling equipment records officiating staff and safety protocols.
  • Plan and execute outdoor recreation opportunities (e.g. hiking kayaking camping) and liaise with local organizations when appropriate.
  • Lead campus-wide recreational competitions such as the Campus Cup in collaboration with Student Affairs.

Athletic Event Operations

  • Oversee all aspects of home athletic events including scheduling setup/tear-down staffing and crowd logistics.
  • Coordinate visiting team accommodations game officials logistics and event communications with campus departments (e.g. safety facilities).
  • Serve as the lead event administrator during home contests ensuring compliance with conference and national regulations.
  • Recruit train and supervise event staff including ticketing concessions promotions and crowd control teams.
  • Support special athletics events such as postseason competitions banquets and regional tournaments.
  • Collaborate with Student Engagement to support fan-based promotions and student presence at games (e.g. ROAR events).

Facilities Scheduling and Communication

  • Maintain the master athletics event schedule including contracts practice bookings and internal calendars.
  • Serve as liaison to campus facilities for field and court preparation custodial coordination and maintenance needs.
  • Coordinate with Campus Safety and Parking for official and team access during events.
  • Participate in Athletics Department meetings and serve as a positive representative to campus and community stakeholders.

Compliance and Other Duties

  • Maintain up-to-date knowledge of NCAA PacWest and institutional compliance guidelines.
  • Ensure that all recreation and event operations meet safety accessibility and policy standards.
  • Attend conferences and training sessions to stay current on event management and recreation trends.
  • Assist with seasonal projects such as summer fair parking and special programming as needed.
  • Perform other duties as assigned by the Director of Athletics.

Minimum Qualifications:

  • Bachelors degree required.
  • An understanding and sensitivity to FERPA laws as it pertains to student-athletes.
  • A working knowledge of NCAA rules bylaws and philosophies.
  • Preferred two years experience in athletics department environment or the equivalent thereof.
  • Ability to work independently and prioritize diverse and specialized details and tasks.
  • Ability to handle complaints and assist in conflict management.
  • Absolute preservation of confidential records financial data and agreed upon conversations.
  • Ability to be flexible to changing conditions needs and job responsibilities.
  • Knowledge and acceptance of principles and philosophies of Vanguard University.
  • Excellent customer service: must be team-oriented able to demonstrate exceptional communication abilities both orally and in writing and work with multiple audiences both externally and internally.
  • Must be highly motivated organized multitasked and goal-orientated.

Salary: Full-time position $22 - $26 Hourly. Salary is commensurate with education and experience and includes a generous benefits package. Posted salary range reflects anticipated hiring scale for the position.
