Job Description

The Opportunity:

Newcastle Anglican has an exciting opportunity for an Executive Support Officer to join the team on a 12-month maximum term contract.

In this role you will provide essential administrative support across the executive function particularly supporting the Executive Assistants Clergy and other key stakeholders.

Role & Responsibilities:

  • Provide general administrative support to Executive Assistants and Corporate Secretary during periods of leave and peak demand.
  • Coordinate key meetings including logistics such as hospitality room set up and catering arrangements.
  • Prepare and review essential documents to ensure the timely and accurate delivery of support for the effective functioning of Councils Boards Executive meetings and Committees including board reports agendas minutes and necessary email communications.
  • Provide administrative support for significant events such as Synods Ordinations and clergy events ensuring a smooth execution and positive experience for attendees.
  • Maintain and update the Diocesan Directory and CRM records ensuring data integrity.
  • Support the Parish Liaison Officer by managing key processes such as Parish Annual Returns licensing and updating the Bishops Acts.
  • Manage archives filing systems and information management processes to ensure proper storage and retrieval.
  • Research analyse collate and provide information to the Corporate Secretary to support informed decision making and planning as required.
  • Document file and maintain Diocesan registers and official acts.
  • Manage confidential matters maintaining discretion at all times.

About you

  • Certificate IV or higher in Business Administration or equivalent
  • Current drivers licence
  • Substantial administrative experience
  • Proven ability to build effective relationships with employees volunteers and other stakeholders
  • Advanced computer skills including keyboarding speed and accuracy as well as in-depth knowledge of MS Office Suite
  • A high level of discretion to deal with highly confidential and sensitive information.
  • Proven adherence to legislation policies and procedures
  • Coordination and facilitation of meetings
  • Expert at travel/conference bookings and management of
