Job Description

The Kenneth F. Kahn School of Law at High Point University invites applicants to serve as its Legal Administrative Assistant to support the law schools Clinical Programs. The mission of the law schools Clinical Programs is to provide law students with the practical experience of working with real clients and communities on real cases under the supervision of clinical faculty.

The Legal Administrative Assistant will have substantial administrative responsibilities in a fast-paced and dynamic work environment involving competing priorities and deadlines. The selected candidate will provide overall administrative support to the schools clinic attorneys and numerous law students who represent the clinics clients. The selected candidate will assist clinic faculty and students with litigation responsibilities including the preparation and collation of documents for filings proofreading legal documents research calendar management and maintaining client files. The position presents the exciting opportunity to work with and directly support clinic faculty and students as the School of Law continues to expand and welcome its second incoming class this fall.

Qualifications:

Education:

  • Associates or bachelors degree is preferred.

Experience and Training:

  • Three or more years of relevant professional experience is required.
  • Prior experience in a law office or legal non-profit environment is preferred.

Knowledge Skills and Abilities:

  • Willingness to contribute actively to the mission vision goals and objectives of the School of Law and University.
  • Strong organizational and time management skills and keen attention to detail.
  • Proven ability to independently exercise sound judgment maintain confidentiality take initiative and be flexible and professional at all times.
  • Excellent oral and written communication skills that enable candidate to communicate with friendliness enthusiasm patience and respect.
  • Proactive work style and history of collaborative teamwork.
  • Excellent interpersonal and listening skills sufficient to work effectively with School of Law faculty staff students and clinic clients.
  • Ability to multitask effectively.
  • Proficiency in computer applications and a good understanding of databases (systems used: Word PowerPoint ExcelGoogle Docs and Zoom).

Essential Functions:

  • Provide a full range of legal administrative support to assigned School of Law clinics including processing forms copying and printing documents processing expert or clinic expenditures and preparing and distributing teaching materials including on the universitys online course-management system.
  • Help manage the clinics litigation calendars as well as coordinate and manage attorney schedules and activities including all logistics.
  • Perform administrative duties associated with taking on new clients for representation including assisting with legal intakes and the creation of hard and electronic files and other office systems.
  • Coordinate travel arrangements for attorneys students and guest speakers.
  • Assist in supporting and providing guidance to law student involvement in office procedures including the use of fax copiers and other office equipment.
  • Help set up client files and establish index system for quick reference close completed cases help notify parties and prepare for file storage.
  • Help manage client/case information in case management database
  • Screen prioritize and route legal mail received by clients. Triage phone calls emails and fax transmissions. Process and distribute time-sensitive communications effectively.
  • Prioritize and manage multiple projects simultaneously and independently often under pressure and in a fast-paced environment.
  • Plan and organize clinic-specific and/or departmental special events and activities.
  • Assist with other projects as assigned including administrative tasks for all clinical programs.

Accountability:

  • Reports to the Director of Clinical Programs and the Associate Dean for Academic Affairs
