POSITION SUMMARY:
This position provides intensive support for planning communications events and analysis to deepen relationships and engagement with stakeholders and supporters of the College of Arts and Sciences. This includes planning and assisting with events assisting with the Colleges external messaging interfacing with a variety of stakeholders facilitating visits and evaluating efforts to increase their efficacy.
RESPONSIBILITIES:
Work closely with unit leaders and the deans office to understand key strengths and needs of the college helping to prioritize message and demonstrate these effectively to stakeholders (e.g. prospective students alumni donors community members industry partners)
Plan and assist with events to engage these stakeholders effectively fostering deeper attachment to and investment in our people and programs
Regularly review the Colleges external messaging to ensure it is accurate timely and effective (e.g. web pages brochures flyers digital monitors)
Solicit feedback from key audiences/stakeholders to refine and improve the Colleges messaging and engagement efforts
Liaise and coordinate with other units including Admissions Advancement Foundation and UMC
Compile and maintain accurate lists of stakeholders contact information
Develop and assist with outreach/messaging campaigns
Greet guide and assist special guests as needed
Represent the College as needed including welcoming and guiding visitors at events
Supervise student workers as needed
Assist the Guest Relations Coordinator and the Content and Messaging Coordinator in promoting events
Provide supplemental support for the Central Coordinator including assistance with reception scheduling mail distribution and other faculty and staff support needs
Work closely with unit leaders and the deans office to understand key strengths and needs of the college helping to prioritize message and demonstrate these effectively to stakeholders
Plan and assist with arrangements (e.g. reservations technology catering etc.) for College events which engage stakeholders (e.g. prospective students alumni donors community) including assisting with processing of payments (e.g. reimbursements invoices etc. for supported events)
Provide limited logistical and promotional/support for departmental events engaging internal audiences
Ensure compliance with all relevant policies and protocols for supported campus visits including minors
Assist with event set-up as needed
Coordinate with the Guest Contracts Coordinator and the Messaging and Content Coordinator to provide staff presence at events as needed and appropriate
Create and/or post promotional content for the Colleges events to campus and external audiences especially pertaining to events engaging external audiences

Experience with planning events
Outstanding organizational and time management skills
Excellent customer service and interpersonal skills
Comfort presenting and interacting with large groups
Excellent writing skills and attention to detail
Proficiency with Microsoft Office
Ability to learn and use a variety of technologies effectively
Willingness to work some evenings and weekends to assist with events outside of regular business hours
Experience with website management social media and/or content creation in a professional setting
Experience with spreadsheets mailing campaigns and/or survey tools
Experience with technologies that support event planning
Experience working in an educational environment
