Job Description
Job Title: Event Coordinator (FTE .5 up to 30-hr non-exempt)
Department: Admissions
Reports To: Associate Director of Admissions - Events
SUMMARY
This position serves in the Events areas of the Office of Admissions by assisting with event and group visit support. This position will run virtual on-campus group and overnight events and work directly with the Associate Director of Admissions - Events to collaborate extensively and build strategies together. This position works Tuesday Thursday and Friday in the office and remote Wednesday with the ability to change as schedules demand. This role will work for 9 months of the cycle with 1 month off in the winter and 2 months off in the summer.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Serve as coordinator for the admissions event programs both virtual and in-person in collaboration with department leadership.
Coordinate event plans and needs with all participants to ensure all plans are executed of the highest quality and fill in as backup for heading events as needed.
Provide support to the events team overall to assist with group visits and other events that impact new student recruitment.
Lead the overnights program and organize all aspects to provide the best visit experience while working with the Residence Life team.
Work within Slate to manage updates and changes to event registration systems and regularly use the system to track registrations attendance and adjustments.
Assist admissions leadership team with various projects and responsibilities that enhance recruitment efforts for Calvin University.
Discuss policies and changes related to events by meeting with the Associate Director of Admissions - Events to evaluate the programs and initiate necessary changes.
SUPERVISORY RESPONSIBILITIES
Student employee supervision may be as needed.
QUALIFICATIONS

EDUCATION and/or EXPERIENCE - The position requires an associates degree or equivalent from a two-year college or technical school. The position requires one to three years of related experience. Requires the ability to use specialized equipment.
ORGANIZATION- A demonstrated ability to organize and communicate complex information is . Visually represent event plans to create clarity and understanding among all participants.
COMMUNICATION SKILLS- This position requires the ability to explain complex plans and university policies to others identify needs and goals through active listening coordinate and assess the work of others and share information with others in written and verbal communication methods. This position also handles confidential information.
PUBLIC SPEAKING- As an event leader you will be the face of Calvin University in many events and should represent the mission and vision of Calvin effectively while engaging participants.
COMPLEXITY- This position requires the ability to solve problems and deal with a variety of variables in situations where only limited standardization exists. Instructions may be furnished in written oral diagram or schedule form.
DECISION MAKING/JUDGEMENT- Demonstrated ability to make judgement calls aligned with the university and department mission and vision regarding event management.
OTHER SKILLS AND ABILITIES
Good communication organization and interpersonal skills are necessary.
Some college experience; preferably a degree.
Computer skills and knowledge of word-processing and Excel.
