Job Description

Selection for interview is based on evaluation of complete application file. Employment offer is based on employee evaluations discipline history and attendance records training and experience references and interview results. Hourly rate placement contingent upon verification of related experience.

Employment contingent upon completion and verification of form information and background check with fee to be paid by applicant.
Pay for contracted classified employees is distributed once/month on the last business day of the month. Pay for employees who work less than full year is spread through August. Questions concerning pay processes may be directed to the Personnel Office.

Job Description:
Public Records Officer / Professional Technical


Responsible to:

Work Year:
260 days per year 4.0 hours per day


General:
The Public Records Officer provides confidential support to the Communications Department by managing organizing and responding to public records requests. The role requires knowledge of the Washington State Public Records Act and involves communication with staff legal counsel and members of the public. This position is responsible for coordinating and processing public record requests redacting documents appropriately and maintaining detailed documentation and timelines under the supervision of the Superintendent.


Minimum Qualification:
High school diploma or equivalent (G.E.D.); associates or bachelors degree in a related field preferred.
Minimum of three years experience with public records management.
Knowledge of WESPaC/Skyward systems and data processing programs preferred.
Proficiency in English grammar composition and proofreading.
Demonstrated attention to detail organizational skills and independent judgment.
Ability to maintain confidentiality and professionalism.
Ability to work collaboratively with diverse individuals and maintain positive working relationships.
Ability to maintain consistent presence at assigned worksite and regular work hours specified under contract.


Position Responsibilities:
Serve as the Districts designated Public Records Officer.
Gather and review records responsive to public records requests from District departments and staff.
Use redaction tools to apply exemptions in accordance with the Public Records Act and applicable law.
Track and maintain timelines for record production; provide updates to the Executive Director of Communications and requestors.
Organize and manage schedules for record processing and delivery.
Maintain up-to-date knowledge of the Washington State Public Records Act and related privacy laws.
Communicate the status of requests with internal departments and external requestors.
Attend relevant training to ensure compliance with current public records laws and procedures.
Assist in maintaining records management systems and associated files.
Perform other job-related duties as assigned.

Qualification Requirements:

Language Skills:
Ability to read and interpret documents write routine reports and correspondence and communicate clearly in English.
Mathematical Skills:
Ability to perform basic arithmetic calculations including addition subtraction multiplication and division.

Ability to apply common sense understanding to carry out instructions furnished in written oral or diagram form. Ability to deal with problems involving multiple variables.
Physical Demands:
While performing the duties of this job the employee is regularly required to talk and hear sit use hands to manipulate and reach with arms. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities include close vision depth perception and the ability to adjust focus.
Work Environment:
The noise level is generally moderate. The work station may be located in an area without elevator access. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
