Job Description

Human Resources Student Assistant

Department: Human Resources

Reports to: Assistant Director Human Resources Payroll & HRIS

FLSA Status: Non-Exempt Student

The anticipated salary for this position starts at $14.00/hour. The final pay will be determined based on several factors including qualifications experience education and years within the job or industry with a strong emphasis on maintaining internal equity.

What we are looking for:


We are seeking a motivated and detail-oriented Part-Time student worker to assist the Human Resources department with day-to-day clerical and administration tasks while gaining hands-on experience and exposure to the fundamentals of Human Resources in a nonprofit environment. This is an excellent opportunity for a student interested in pursuing a career in Human Resources to gain hands-on-experience in a professional HR setting. The position offers exposure to multiple HR functions and provides an opportunity to develop practical skills while contributing to a mission driven organization.


This temporary position is open only to students enrolled at the University of Kansas. The individual in this position will work 15-19 hours per week scheduled between the hours of 8 a.m. and 5 p.m. Monday through Friday in person at KU Endowments Lawrence office. Employment is evaluated at the end of each 16-week semester and could be extended by mutual agreement. If extended summer employment is expected for this position.


The individual in this position is expected to embrace KU Endowments core values passion for KU partnership with donors perpetual support for KU and a people-centered approach and demonstrate support for them through professional interactions and activities.


Whats a typical day look like

  • Scan index and digitally organize employee personnel files (active retirees and term vested) and confidential documents.
  • Assist with auditing employee files to ensure documentation is complete accurate and compliant with organizational standards and applicable laws.
  • Support the HR team in maintaining document retention and confidentiality and data protection standards.
  • Learn observe and assist with key HR functions such as payroll processing benefits administration recruitment support new hire onboarding employee offboarding employee relations and HR compliance.
  • Provide general administrative support to the HR department as needed (e.g. prepare new hire packets benefit materials employee offboarding filing data entry preparing various HR related materials).
  • Maintain a high level of discretion and confidentiality with sensitive information.
  • Regular and reliable attendance is essential for this position.
  • Performs other duties as may be assigned.

Whats required to be considered:

  • Current KU Student enrolled in six or more credit hours
  • Strong interest in Human Resources and a desire to learn more about nonprofit operations and workplace culture.

  • Basic computer skills including familiarity with Microsoft Office (Word Excel Outlook) and scanning equipment.
  • Prior office experience or administrative experience preferred especially in a professional or customer service setting.

Physical Requirements:

  • A valid drivers license.
  • Must have access to reliable transportation to travel between multiple locations for training donor meetings networking events and/or work-related activities.
  • Must be able to respond quickly and effectively to directions and safety hazards.
  • This job operates in a professional office environment. This role routinely uses standard office productivity machinery such as computers keyboards and a mouse laptops phones photocopiers filing cabinets and fax machines.
  • This is largely a sedentary role; however some filing is required. This would require the ability to move files open filing cabinets and bend or stand as necessary.
  • The ability to observe details at close range (within a few feet of the observer).
  • The person in this position frequently communicates with colleagues students and general public. Must be able to communicate with others effectively.
  • Physical effort/lifting: sedentary - up to 50 pounds
  • Rare travel: requirements can include the following evenings weekends and out of town overnights as a regular part of the job.
