Position Overview

The Division of Developmental Disabilities is seeking to hire an Executive Secretary II for the Kiley Developmental Center located in Waukegan Illinois to perform administrative secretarial work for the Assistant Center Director of Operations. Keyboards a variety of confidential materials from formats exercising independent judgement in development of final drafts. Prepares time and attendance reports. Attends to administrative issues for the Assistant Center Director of Operations. Serves as Facility Office of Inspector General (OIG) liaison.

Essential Functions

  • Performs administrative secretarial work for the Assistant Center Director (ACD).
  • Serves as Facility Office of Inspector General (OIG) liaison.
  • Serves as timekeeper for administration.
  • Recommends guidelines for efficient facility operations.
  • Obtains necessary paperwork for performance evaluations.
  • Performs other duties as required or assigned that are reasonable within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge skill and mental development equivalent to completion of two (2) years of secretarial or business college and two (2) years of secretarial experience OR completion of high school and four (4) years of secretarial experience.
  • Requires the ability to keyboard accurately from copy at a minimum net rate of 55 words per minute.

Preferred Qualifications

  • Three (3) years of secretarial experience for a public or private organization.
  • Two (2) years of experience meeting deadlines with strong attention to detail while multi-tasking multiple projects.
  • Two (2) years of experience working in a public or private organization maintaining confidentiality and handling sensitive information with professionalism.
  • Two (2) years of experience conducting special projects which include evaluating existing and proposed programs policies and procedures for a public or private organization.
  • Two (2) years of experience researching and developing correspondence to internal and/or external individuals.
  • Two (2) years of advanced proficiency in Microsoft Office Suite including Word Access and Excel.

Conditions of Employment

  • Requires ability to pass the IDHS background check.
  • Requires ability to pass a drug screen for drugs prohibited from recreational use under Illinois Law.
  • Requires ability to travel in the performance of job duties.
  • Requires the ability utilize office equipment and troubleshoot electronic office equipment computers and maintain moderately complex filing systems and records.
  • Requires the ability to work after business hours weekends and holidays.
