Position Description

Job Title: Athletic Director

FLSA/Job Status: Exempt/Full- Time

Reports to: Head of School


Job Function: Oversee and provide guidance for the schools athletic program. Work with the administration to improve and maintain programs and activities. Supervise personnel within the athletic program including all coaches and their staff. Plan and prepare the annual athletic budget for the school.


Duties and Responsibilities:

  • Administration
    • Direct everyday athletic duties
    • Coordinate athletic events
    • Coach Supervision
    • Communicate with coaches
    • Game manager for all home games
    • Administrator and security for all home games
    • Attend away playoff games as AOD
    • Collect team rosters from head coaches
    • Create Fall/Winter/Spring team rosters document and share with admin faculty and staff
    • Coordinate and organize Meet the Colts & Fillies
    • Organize prepare and distribute end of year athletic awards
    • Oversees equipment ordering by Men of Marian and head coaches
    • Develop and manage athletic budget

  • External Staff and Volunteers
    • Assign and schedule volunteer helpers for home football games
    • Write and provide checks to pay officials

  • Scheduling
    • Communicate with and provide the assigners of sport officials with our home game schedule
    • Organize and schedule team workout/practice schedules - add them to our website calendar
    • Create team game schedules and provide head coaches with a copy
    • Coordinate and schedule youth camps at Marian

  • Transportation
    • Schedule bussing for away contests with Kistler Transportation
    • Provide head coaches with transportation times for away contests

  • Student Athlete Health and Safety
    • Communicate and work with St. Lukes as Marians exclusive provider of sports medicine and athletic training services
    • Communicate and work with the Athletic Trainer provided by St. Lukes
    • Complete and provide families with injury forms from school insurance company

  • League/District/State Responsibilities
    • Attend Athletic Director league and district meetings
    • Collaborate with Finance Office for payment of league/district dues
    • Oversee PIAA transfer paperwork and collaborate with Head of School
    • PIAA rules implementation
    • League and District Representation

  • Ticket Sales
    • Manage athletic ticket sales
    • Prepare and manage tickets to be sold for home contests (ticket booths)
    • Prepare and manage money boxes for home contests (ticket booths)
    • Assign volunteers to sell tickets for home contests (volleyball and basketball)
    • Prepare manage and sell tickets for league district and state playoffs

  • Coaching Contracts
    • Collaborate with Administration and School Board with the dollar amount for coaching contracts
    • Issue coaching contracts to coaches for review signature and return to AD
    • Submit signed coaching contracts to the Finance Office

  • Men of Marian
    • Attend Men of Marian meetings
    • Collaborate with Men of Marian for team budgets
    • Request and collect yearly team budgets

  • Athletic Staff
    • Staff assignments and selection
    • Member of the interview and hiring committee for new head coaches
    • Oversees hiring of new assistant coaches (volunteer and paid)
    • Assign head coaches with a coaching key (G1-X) and Fab
    • Collaborate with Administrative Assistant to verify all coaches have updated safe environment clearances and certificates
    • Collect and keep on file all coaches PIAA coaching certificates
    • Schedule and coordinate use of facilities with teams booster groups and outside groups

  • Any other duties as assigned by the Head of School.

Educational Requirements/Qualifications:

  • Bachelors Degree in Education Physical Education or a related field.

  • Experience in school athletic setting preferred not required.

Other Requirements:

  • Excellent interpersonal skills; experience with a diverse school population.

  • Must have strong planning and organizational skills.

  • Knowledge and understanding of legal liability in an athletic environment.

Physical Demands: While performing the duties of this job employees are regularly required to sit stand walk and stoop. Must be able to talk and hear both in person and by telephone. Use of hands to perform standard classroom duties and use office equipment is required. Reaching and lifting up to 10 pounds is also required. Vocal communication is required for expressing or exchanging ideas by the means of spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data determining the accuracy and thoroughness of work and observing general surroundings and activities.


Working Conditions: Full-time Monday to Friday; 7:45 a.m. - 3:00 p.m. Standard office setting including standard office equipment with the standard gymnasium/athletic event setting. The noise level in the work environment is usually moderate to high depending upon student population and activities. The employee is regularly exposed to wet or humid outdoor weather conditions and hot and/or humid gymnasium environment(s). The employee may be exposed to blood-borne pathogens. May be required to assist with evenings and weekends is necessary for donor meetings and special events.
