THE SCHOOL BOARD OF MARTIN COUNTY

PROPERTY CONTROL SPECIALIST



JOB DESCRIPTION

QUALIFICATIONS:
(1) High School diploma
(2) Three years of experience in a large organization with duties involving accounting and/or
inventory maintenance and control.
(3) Experience in maintaining property records and/or purchasing experience.
(4) Ability to lift objects weighing up to 20-30 pounds.
(5) Valid FL Drivers License and available transportation

KNOWLEDGE SKILLS AND ABILITIES:

Knowledge of state statutes for the maintenance of property records. Knowledge of computers and appropriate
software programs. Ability to communicate orally and in writing. Ability to plan organize and establish priorities
related to assignment. Ability to carry out job responsibilities and handle sensitive information in a confidential
manner. Ability to work independently and make decisions with minimum supervision. Ability to handle multiple
tasks in a professional and courteous manner. Ability to work cooperatively with others.

REPORTS TO: Capital Accountant

JOB GOAL
Responsible for maintaining accurate recordkeeping for all district-owned real and tangible
personal property tagging of all assets conducts annual physical inventory audits and assists in
preparation of disposed assets.


PERFORMANCE RESPONSIBILITIES:

Service Delivery
(1) Determines classification of new acquired property by reviewing payment data and verifies receipt
to identify acquired assets.
(2) Track locate and tag all unmarked property in accordance with school board policy with
identification numbering system according to type.
(3) Assigns distributes and affixes asset tags to all school board property classified by school
department division etc.
(4) Maintains a complete and up to date record and location of property in use within the system.
(5) Verifies input of transactions for accuracy and completeness. Makes the necessary corrections to
account for asset. Analyze and resolve discrepancies.
(6) Compiles and maintains documentation for property dispositions to be Board approved.
(7) Confirms transfer of asset for disposal schedules pick up of assets.
(8) Plans implements and stages the disposal of surplus or unusable property via auction.
(9) Ensure compliance with Board rules and applicable federal laws and regulations.
(10) Reconcile and research property variances relating to the acquisition transfer and disposition of
tangible personal property belong to the School Board. Adjust fixed asset records as needed.
(11) Reconcile fixed asset expenditures to the general ledger monthly.

(16) Ability to operate barcode scanner or other electronic equipment storage/tracking device.
(17) Maintain expertise in assigned area to fulfill position goals and objectives.

(18) Exercise service orientation when working with others.
(19) Keep supervisor informed of potential problems or unusual events.
(20) Ability to interact with others in an appropriate customer service oriented manner.
(21) Respond to inquiries and concerns from external and internal contacts in a timely manner.

System Support
(22) Exhibit interpersonal skills to work as an effective team member.
(23) Follow federal and state laws as well as School Board policies rules and regulations.
(24) Prepare financial reports to balance property to expenditure ledger to aid in year-end financial
reporting requirements.
(25) Perform other tasks consistent with the goals and objectives of the position.
(26) Perform all other duties as assigned.

PHYSICAL REQUIREMENTS:
Medium/heavy work Requires working indoors in environmentally controlled conditions and outdoors at
times. Requires sitting for some parts of the day and the ability to exert moderate though not constant
physical effort typically involving some combination of climbing and balancing stooping kneeling
crouching and crawling and which may involve some heavy lifting carrying pushing and/or pulling of
objects and material frequently weighing up to 20 pounds and infrequently weigh more than 20 pounds
with help when necessary. Requires travel to school and department sites within the district.

TERMS OF EMPLOYMENT:
AFSCME Bargaining Unit Compensation plan schedule White Collar Level V
227 day contract

EVALUATION:
Performance of this job will be evaluated in accordance with provisions of the Boards policy on evaluation
of personnel.
