Work Schedule:
- Monday to Friday 9am - 6pm MST with 1 hour unpaid break (8 paid hours per day)

Position Overview:
The Purchasing Assistant supports the procurement team by handling essential logistical
and administrative tasks to ensure smooth order processing and timely deliveries. This role
focuses on booking freight obtaining packing slips maintaining data integrity and gathering
ETAs for all orders. The ideal candidate is organized detail-oriented and proactive with
strong communication skills to facilitate efficient coordination between suppliers logistics
providers and internal teams.
Key Responsibilities:
Freight Booking & Coordination:
- Book and coordinate freight shipments to ensure cost-effective and timely
- delivery of orders
- Communicate with freight carriers and logistics providers to confirm schedules and resolve any transportation issues.
Data Management & Integrity:
- Obtain and verify packing slips invoices and shipment documentation for all orders.
- Maintain accurate and up-to-date order records ensuring consistency and completeness in the system.
- Clean and audit procurement data regularly to ensure accuracy and consistency across systems.
Order Tracking & ETA Gathering:
- Track all shipments and gather estimated delivery times (ETAs) for pending orders.
- Monitor order status updates and proactively communicate any delays or discrepancies to relevant teams.
Order Support & Communication:
- Assist the purchasing team in gathering and organizing order details delivery schedules and related documentation.
- Support supplier and logistics communication to ensure smooth order execution.
Administrative Support:
- Support procurement activities by handling routine administrative tasks including data entry and document filing.
- Assist in generating reports related to freight shipping and delivery status as needed. Competencies
Supply Chain
- Proactive approach to supplier and logistics management.
- Knowledge of supply chain processes and industry best practices.
Familiarity with Packaging Files
- Ability to interpret dielines artwork files (PDF AI) and understand the components of a print-ready packaging file.
Proof Review & Approval Process
- Experienced in reviewing digital and physical proofs for accuracy in layout color material and compliance with brand and regulatory standards.
Basic Packaging Engineering Knowledge
- Understanding of packaging structures materials (e.g. paperboard film plastic) and how they impact functionality cost and manufacturability
Software
- WMS (Warehouse Management Systems)
- ERP (Enterprise Resource Planning) software
- Inventory management tools

Requirements
- Proven experience in vendor management and supplier relationship building preferably with international suppliers
- Strong understanding of purchase order processes and procurement workflows
- Excellent communication and follow-up skills for maintaining productive vendor relationships
- Experience working with ERP systems and data management platforms
- Ability to work Mountain Standard Time business hours
