Position Description:
The Administrative Assistant is responsible for the coordination and management of the daily activities of the department including the electronic preparation and processing of various reports compilation of statistical data and maintenance of appropriate files and budgets. The Administrative Assistant shall act as a representative of the Executive Directors in the Teaching & Learning Department and must have the ability to communicate intelligently with schools departments and vendors regarding policy and procedures of the department.
Reports To: Chief Academic Officer
Scope of Responsibility:
- Manages clerical activities to ensure a routine flow of work correspondence request for information and coordination with all departments in the unit.
- Prioritizes screens and distributes all telephone calls and incoming mail for the department.
- Schedules all appointments as assigned.
- Performs clerical bookkeeping timekeeping and supplemental payroll duties for the department.
- Manages budget activities and processes for the department.
- Maintains personnel documents related to attendance evaluations and related confidential matters.
- Prepares all requisitions for the department.
- Answers inquiries from the general public administrators and other personnel.
- Performs other duties as assigned by the Chief Academic

- 3 years of progressively increasing clerical experience.

- Experience in producing letters memos charts and tables using Microsoft Word Excel PowerPoint & Publisher.
- Experience in utilizing database management programs designated by the JPPSS to complete and maintain personnel student and school records.
- High School Diploma

Must be able to operate office equipment. Standing walking reaching bending and lifting up to 10 pounds is required.
