Purpose of the position:
The primary purpose of this position is to perform complex administrative functions requiring interpretation and judgement in organizing and coordinating business activities for a department or program.
Minimum Education Training and/or Experience (required at time of hire):
Associates degree in related field; and four (4) years of progressively responsible administrative support management or closely related experience; or equivalent combination of education or experience which provides the required knowledge skills and abilities will be considered in meeting the minimum qualifications.
Additional Training and Experience: Prior elections experience preferred this may include in an administrative capacity or as a poll worker for a local state or federal government.
License or Certification Required by Statute or Regulation: Must obtain a North Carolina Notary Public commission within 12 months of hire and maintain it throughout employment.
Supervisory/Leadership Responsibilities: Provides training and lead worker support through motivationdirection review and feedback of assigned tasks.
Essential Functions of the position:
Interact with internal and external customers to obtain and provide information and assistance in a variety of circumstances; screen and respond to inquiries and complaints; provide information on policies and procedures; perform other similar types of program support activities.
Independently organize and implement the administrative support for a complex program; responsible for interpreting and assisting in developing program policies and procedures; Work usually requires considerable organizational and analytical responsibility.
Assist in the coordination oversight and completion of special projects as appropriate.
Plan coordinate and prepare agendas memos and minutes for assigned department committees and/or special projects; Coordinate logistics and schedules for various meetings work sessions briefings and other events and programs
Perform departmental support work such as but not limited to; personnel processes purchasing and maintaining office supplies receiving and routing invoices and contracts.
Provide direct supervision toclerical office and/or administrative support staff.
Performs other related duties as assigned.
Knowledge Skills Abilities:
Ability to balance priorities to accomplish assigned tasks within the required time frame and to be able to shift quickly between several tasks without loss of continuity.
Ability to analyze and interpret policy and procedural guidelines and to resolve problems and questions independently.
Ability to establish and maintain effective working relationships with associates officials the press and the general public.
Knowledge of departments office systems practices procedures and administration.
Skill in organizing work flow and coordinating activities.
Ability to analyze interpret recommend and implement policy and procedural guidelines.
Ability to effectively evaluate and process forms; verify data for accuracy completeness and compliance within established procedures; enter data into computer system monitor calculate and submit time sheets maintain confidential files and data; identify problems and propose feasible solutions.
Knowledge of effective supervisory practices and ability to plan and supervise the work of others if applicable.
