Job Description

Carlow University is now accepting applications for ourAssistant Manager of Student Accounts position.
Position Summary:

The Student Accounting Assistant Manager position is a key member of the Student Accounting team and works closely with students from Carlow University as well as staff from Finance Financial Aid Registrar Enrollment Faculty and other internal and external partners in a team-oriented approach to provide efficient and customer service.

This student-facing position serves students by ensuring prompt resolution of inquiries concerns or issues related to their student account to the customers satisfaction and comprehension. This role requires strong analytical organization and communication skills a commitment to excellent customer service and an understanding of basic accounting principles attention to detail self-motivation; and the ability to relate well to both current and previous students and outside vendors in a variety of functions.

Primary Responsibilities:
  • Transfer student subsidized billing amounts to sponsors account in accordance with tuition assistance agreement after verification of eligibility with sponsors and apply payments received by sponsoring agent and process related refunds. Ensure sponsored payments reconcile to tuition charges resolve discrepancies in collaboration with Student Accounting team Registrar sponsoring agent and student. Create customized billing packages as required by sponsoring agent. Ensure sponsored tuition is excluded from 1098T reporting.
  • Serve as School Certifying Official (SCO) for Veterans Affairs (VA) calculate tuition based upon enrolled credits residency status and registered term or Carlow Accelerated Program (CAP) and provide required documents to VA. Provide metrics on VA funding to Financial Aid for IPEDS reporting and compliance. Act as primary resource to VA students to provide superior customer service achieve timely issue resolution in collaboration with VA and Carlow personnel. Participate in VA sponsored SCO training and update programs and implement process improvements required policy or reporting updates including effective communication to VA students and impacted Carlow personnel.
  • Help in assisting in billing for Campus Lab School Early Learning Center and Extended Day. Also assist with the University billing side.
  • Create payment plans for students including payment schedule and promissory note ensuring University assets are protected and risk managed. Monitor timely payments per agreements contact students that are delinquent and make necessary adjustments based upon agreed to action plan to keep account current.
  • Provide superior customer service to students families and sponsors in response to walk-in or phone inquiries related to billing transactions posted to student accounts payment plans refunds financial holds and other student requests. Offer timely solutions to complex concerns and collaborate with or redirect to Financial Aid Register or responsible department as appropriate.
  • Generate reporting on payment plans sponsored programs residence deposits and Review summarize and analyze data including escalation of any trends or circumstances to leadership and engage in issue resolution in collaboration with University personnel.
  • Respond to student inquiries regarding financial holds on student accounts including investigation of hold source and collaborate with Financial Aid Registrar and Enrollment to assist with prompt resolution.
  • Supervise Student Accounting Associate employees including planning tasks prioritizing setting deadlines and review of work product.
  • Serves as department approver for supplies and approve invoices from the buyer through Carlow Market.
  • Ensure confidentiality of student records and written and verbal communications per FERPA guidelines

Requirements:
  • Bachelors Degree in Accounting Business Management Finance or directly related field.
  • Minimum 4 years experience with preference given to candidates in higher education or customer service.
  • Intermediate Excel skills including complex formulas pivot tables lookups in order to analyze data.
  • Capability to quickly learn ERP systems and associated data warehouse systems.
  • Ability to solve complex issues deliver results achieving monthly quarterly and annual deadlines.
  • Demonstrated ability to develop positive supportive relationships with students colleagues and partners to be effective in a dynamic collaborative environment in a positive and proactive manner
