Job Description

BGC Regina (operated by BGC Saskatoon) is opening two 90 space centres located in downtown Regina. We are currently hiring two Business Administrator(s) to co-manage the daily operations of the centre(s) with an anticipated start date of September 1 2025. This position is full time part of the BGC Regina leadership team and is eligible for the BGC Regina benefit package after a 3 month probationary period. Our Early Learning Centre is staffed by a committed group of early childhood educators and is supported by an onsite management team and administration support. This position will work a 40 hour week (8 hour day) Monday to Friday. Shift start and end times are variable.

NOTE: All applicants must be eligible to work in Saskatchewan/Canada. Wage is negotiable based on experience and education and is eligible for the wage enhancement program from the Government of Saskatchewan dependent on early childhood educator certification status (wage range indicated above includes wage enhancement for a certified Level III early childhood educator - range will be reduced if ineligible for wage enhancement program).

Position Overview
The Business Administrators primary responsibility is the day to day and long-term management of the operations of BGC Reginas Licensed McIntyre Early Learning Centre(s). The Business Administrator works closely with the Pedagogical Leader to ensure the early learning program also operates as an effective business. The Business Administrator is a full-time position (40 hours per week) and is eligible for the full benefits package that BGCR provides. The Business Administrator reports directly to the Director of Early Years Programs who reports to the Director of Operations.

Qualifications
Early Childhood Educator Level III (valid Saskatchewan certification)
Business Administration certificate diploma or degree; or relevant experience
Criminal Record Check & Vulnerable Sector Check (clear)
Valid First Aid and CPR
Valid Drivers License and Reliable Transportation
Proficient Computer Skills
Play & Exploration Phase 1 (can be acquired after employment has commenced)
Play & Exploration Phase 2 (can be acquired after employment has commenced)

Responsibilities
  • Support the Pedagogical Leader in the implementation of program planning for children which should follow developmentally appropriate practice (Play & Exploration) and BGC Reginas Mission & Vision Statements Core Values and Model for Success
  • Ensure the quality of the McIntyre ELC by adhering to Provincial Licensing Regulations (includes Health & Fire Regulations) relevant legislation school division/lease requirements as well as BGC Regina Policies and Procedures
  • Ensure the safety of the physical environment for the children and arrange for any maintenance of the space as per the school divisions requirements
  • Role model leadership and display professionalism in all aspects of the position
  • Embrace and implement the BGC Reginas early learning philosophical & vision statements
  • Support the professional development of staff and evaluate effectiveness
  • Work in a team-based environment with the Pedagogical Leader Director of Early Years Programs McIntyre ELC staff BGCS/BGCR staff
  • Provide leadership and support while supervising ELC staff students and volunteers
  • Assist with assessing McIntyre ELC programs using the ECERS evaluation
  • Assist with coordination and completion of ASQ assessments
  • Build and support positive partnerships within the organization schools families and the community

Communication:
  • Ensure open & timely communication with the BGC Regina leadership team
  • Communicate with program consultants from the Early Years Branch of the Ministry of Education and with consultants from the Saskatchewan Health Region.
  • Maintain professional and open communications with parents and/or guardians and school administrations
  • Address questions and concerns from parents schools funders etc.
  • Meet and work collaboratively with the Director of Early Years Programs and the Director of Operations to cultivate strategic thinking about program effectiveness

Administrative/Personnel:
  • Interviewing and screening potential employees with the Pedagogical Leader
  • In consultation with the Director of Early Years Programs hiring and terminating employees as necessary
  • Ensure all requirements for record keeping (personnel files childrens files Ministry of Education and Social Services grants etc.) are met
  • Scheduling ELC staff and volunteers while ensuring proper staffing ratios
  • Ensure staff payroll is prepared twice monthly
  • Prepare monthly billing for BGC Saskatoon Office Administration
  • Prepare reports as needed (i.e. Monthly to Director of Operations/Director of Early Years Programs Attendance Reports)
  • Complete basic accounting of monthly expenses and prepare ELC and personal expense claims as required
  • Ordering/purchasing monthly supplies for ELC offices and childcare program
  • Regular communication with families using email written and internal systems software
  • Ensure proper distribution/preparation of all ELC documentation
  • Along with the Pedagogical Leader provide ELC Staff with an annual Performance Review. Provide all staff with ongoing feedback throughout the course of the year
  • Complete day to day administrative tasks to ensure operations of the ELC are maintained including newsletters and additional correspondence
  • Any additional administrative tasks that may develop within the ELC
  • Maintain waiting lists and fill vacant spaces introduce prospective families to the ELC and explain forms & policies needed to obtain a space within the ELC and inform families of any policy or fee change.
  • In consultation with the Pedagogical Leader report to the Director of Early Years Programs with a monthly report on operations of the ELC and work with Director of Early Years Programs in developing yearly/monthly budgets.
