BACKGROUND AND PURPOSE OF THE ASSIGNMENT:
To deliver a range of routine business support tasks for the Analysis and Coordination Branch (PCSC) in the Partnerships Coordination Services (PCS). The Coordination and Analysis Branch (PCSC) facilitates function-wide partnership and resource mobilization efforts. PCSC works throughout the Partnership network to empower Country Offices Regional Bureaus Global Offices and Headquarters to make informed decisions and maximize partnerships in alignment with WFPs Strategic Plan. The incumbent will be assisting all team members and liaise with Support Assistants within the Service with regular administration support.
ACCOUNTABILITIES/RESPONSIBILITIES:
1. Support the Analysis and Coordination Branch to maintain relevant internal lists and collate requests for the team and the Division for smooth operation in regular administration such as Leave Plan requests.
2. Provide timely assistance to new staff when onboarding into the Analysis and Coordination Branch including the set-up of email smart phones laptops and distribution of accessories with Asset Management support within the Service.
3. Assist in supporting the PCS team support assistants in receiving and dispatching documents (internal and external) that require clearance or approval with Team Leader vis-a-vis also with the Front office management.
4. Handle HR processes such as providing recruiter support for the hiring of short-term staff from supporting interview/written tests to collecting and reviewing the whole documentation needed for recruitment processes in liaison with HR.
5. Provide support to the team in storing relevant documents in Share Point for a proper and organized electronic storage.
6. Provide support in Procurement procedures for the purchase of relevant non-food goods and services for the team.
7. Provide support to carry out travel arrangements for official travel taking care of Visa requests booking air tickets arranging hotel accommodation and providing security clearance.
8. Provide calendar updates to team members for various meetings /information sessions/ training and team meetings.
9. Respond to various enquires from staff in the team and to provide readily available information from office files databases or routine information.
10. Provide back up support for other Support Assistants in the division for administrative tasks.
11. Provide support to the team for in-person meetings (whether in house or virtual). Arrange for assistance with AV technicians set up meeting room provide refreshments and catering and security set up when needed for externals. Provide back up support during the duration of the meeting.
12. Operate various office equipment including photocopier facsimile printer scanner conference call unit and binding machine.
QUALIFICATIONS AND EXPERIENCE
Education: Completion of secondary school education.
Experience: Three or more years of experience in general administrative work.
Knowledge and Skills:
Ability to use standard office equipment such as photocopiers and scanners.
Knowledge of standardised business support work routines and methods.
Knowledge of standard office software packages e.g. Microsoft word.
Uses tact and courtesy to give and receive information with a variety of individuals.
Good attention to detail to identify data discrepancies.
Ability to work to deadlines and follow clear instructions.

Language: General Service (Headquarters): Fluency (level C) in English language. Fluency (level C) or intermediate knowledge (level B) of another official language may be required depending on the location of the post or area of responsibility.
