Position Title: Law and STAY FLY Programs Coordinator

Reports To: Law Program Manager

Community: Alameda County

Office Location: Oakland CA (up to 50% hybrid role of in-person and remote)

Compensation: $27.53/hourly generous benefits package

Status: Full-time non-exempt

Law and STAY FLY Programs Coordinator - Position Summary

The Law and STAY FLY Programs Coordinator supports all functions of running an effective and efficient Law Program and STAY FLY Program in Alameda County which includes assisting in volunteer recruitment coordinating for events managing data entry and leading the facilitation of FLYs law-related education curriculum at program sites.

Position Responsibilities

Manage Intake of Youth Referrals for the Law-Related Education (LRE) & STAY FLY Program

  • Process new youth referrals into the LRE & STAY FLY program throughout the program year including contacting 90% of youth referred within 72 hours.
  • Create clear communication lines with referral providers to expedite referral process and generate/maintain positive relationships with referral sources such as school staff families public defenders juvenile probation officers and other community partners
  • Responsible for organization and data entry of all referrals into internal database Efforts to Outcomes (ETO)

Coordinate the Preparation of Supplies for Program Sites Events and Trainings

  • Organize and coordinate logistics for program training workshops field trips and events including purchasing supplies and snacks reserving rooms and event venues preparing and transporting materials and ordering meals
  • Provide ongoing support for volunteer facilitators in terms of supplies and call logs
  • Manually track all aspects of event execution in planning spreadsheets as well creating event flyers prior to events and trainings as needed.
  • Complete necessary post-event data entry into our ETO database
  • Manage and organize youth/young adult liability waivers medical binders volunteer paperwork and ensure paperwork is up to date and physically with the team at each eventin case of youth emergencies
  • Transport youth to and from designated program events and activities as needed

Coordinate Volunteer Recruitment in collaboration with the Law Program Manager

  • Assist the Law Program Manager in preparing all presentations for volunteer recruitment including attending presentations providing information to potential volunteers regarding the Law Program and networking to increase volunteer recruitment as needed
  • Coordinate schedule and participate in volunteer facilitator interviews including providing packets/paperwork to Law Program Site Manager and Programs Manager prior to interview
  • Process all volunteer clearances within 72 hours of volunteer interviews including updating Program Manager on clearances statuses

Provide General Programmatic and Administrative Support

  • Facilitate LRE Curriculum at various program sites
  • Maintain accurate and up-to-date program information in FLYs ETO database Google Drive and Dropbox folders including program enrollment attendance and volunteer and youth paperwork.
  • Generate attendance reports for Law Program Site Manager Program Manager and external stakeholders as needed
  • Support with administration work such as case filings and reimbursements.
