Job Description

Operations Assistant

Location: Remote (Mexico preferred)
Working Hours: Monday to Friday - 9:00 am to 4:00 pm
Timezone: Central Standard Time
Reports to: Founder / Managing Partner

About the Role

We are seeking a highly organized and detail-oriented Operations Assistant with a strong understanding of the Mexican real estate market. This individual will play a pivotal role in managing and tracking real estate acquisition processes interfacing with key stakeholders (brokers notarios and government offices) and maintaining oversight of assets in our pipeline.

The ideal candidate is Excel-proficient bilingual (English & Spanish) and has prior experience supporting real estate transactions in Mexico. This is a remote role with flexibility in hours and scope to grow into a more senior operations/project management position.

Key Responsibilities

  • Track and manage the acquisition pipeline in Excel (multi-tab tracker with key data points like asset status pricing deal structure and notes)
  • Liaise with real estate brokers notarios and government officials to gather required documents and verify property titles
  • Conduct title reviews in collaboration with brokers and legal teams to identify potential red flags
  • Research and analyze market comparables to validate pricing recommendations and investment potential
  • Maintain and update documentation in Word (e.g. property summaries memos and general tracking sheets)
  • Support the review process for property deals and coordinate with internal partners (including 2 co-founders) for sign-off
  • Occasionally assist with light due diligence such as reviewing listing photos or pulling title data from municipal sites
  • Optional: If located near a potential asset visit and take photos (not required but a bonus

Must-Have Qualifications

  • Fluent in English and Spanish (spoken and written)
  • Proven experience in or around the Mexican real estate industry (brokerage legal investment etc.)
  • Strong skills in Microsoft Excel (multi-tab tracking basic formulas) and Microsoft Word
  • High attention to detail and ability to spot discrepancies in documentation or titles
  • Comfortable interfacing with legal (notario) government bodies and brokers
  • Self-motivated and proactive in managing tasks and timelines in a remote environment
  • Strong written communication and follow-throug

Nice-to-Have

  • Located in Mexico and able to occasionally visit properties or local offices
  • Familiarity with investment property analysis (e.g. fix & flip double escrow etc.)
  • Experience supporting U.S.-based founders or remote-first businesses
