Your Daily Tasks
Order Processing & Customer Support
- Process wholesale orders received via email phone online platforms and trade fairs
- Manage retail orders and customer messages via Etsy and the website
- Enter wholesale orders into warehouse software
- Share tracking information with customers
- Follow up with Canadian wholesale customers weekly
Accounts & Invoicing
- Create invoices and statements; match payments in Xero
- Forward invoices to AutoEntry and assign payment dates
- Send monthly commission statements to Canadian reps
- Email monthly statements to sales agents
Admin & Operational Tasks
- Respond to customer and wholesale inquiries via shared inbox
- Approve new shop registrations and send welcome emails
- Order packaging supplies
- Update Zoho CRM with new accounts contacts and orders
- Flag high-value orders to the team
Online Listings & Platforms
- Copy product listings and images to Etsy website and platforms
- Update Faire stock levels and Etsy shop layout monthly
- Check for copyright infringements and report monthly
- Make minor website updates
- Add new designs to Protect My Work
- Update stockists list and mailing list monthly
Sales & Lead Follow-Up
- Follow up with new leads from online platforms
- Conduct weekly follow-ups with other potential prospects
Other Tasks
- Handle incoming calls and process phone payments
- Support with basic website edits and general business needs
Requirements
The Qualifications We Seek
- 2 to 4 years of experience in customer service order processing or business support
- Strong administrative skills and high attention to detail
- Comfort in using online platforms like Etsy Faire WooCommerce Xero and Zoho (training will be provided)
- Strong written and verbal communication skills
- Ability to manage time multitask and work independently
- Tech-savvy attitude and comfort in learning new tools and systems
- A proactive approach and a can-do attitude
- A willingness to work in a positive collaborative and happy team that likes to think outside the box and go out of the way to impress customers with the motto: "Proudly absurd"
