RECEPTIONIST

CLOSES ON AUGUST 1 2025 at 5:00 p.m.

REPORTS TO: Assistant to the Chief
DIVISION: Executive
FLSA CLASSIFICATION: Non-Exempt
GRADE: 10

SALARY GRADE: $49466-$59267

SMFR is accepting internal and external applications for Receptionist. This role is vital at SMFR as it is the face of the organization and provides the best customer service to our employees and customers. The ideal candidate will be adaptable possess time management skills and has fire service knowledge.

GENERAL POSITION SUMMARY

The Receptionist is a customer-oriented position responsible for providing a variety of administrative duties in support of South Metro Fire Rescues goals and objectives. The Receptionist answers phone calls greets customers distributes mail schedules meetings and conference rooms manages office supplies and provides administrative support as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES (The following statements are illustrative of the duties and responsibilities of the position and do not list every duty that may be required of the employee for this position. Customer Service

Serves as the primary point of contact for internal and external customers; answers and manages phones calls and inquiries; directs calls to appropriate divisions and personnel.

Greets and welcomes visitors in a professional and courteous manner; directs visitors to the appropriate division or person; issues security badges to visitors and contractors.

Responds to inquiries; provides general information regarding SMFR functions and programs.

Administrative Duties

Provides a variety of administrative support including assisting with preparation for hiring processes new employee orientations elections mass mailings and special events and projects.

Distributes mail and deliveries; receives sorts and distributes mail packages and other deliveries.

Coordinates pool car reservations.

Assists with coordination of various events secures rooms/locations; prepares invitations or notices for events; provides logistical support for event including meeting materials presentations refreshments set up and take down etc.

Maintains lobby equipment supplies and beverage station.

Maintains appropriate supply levels for the Mineral HQ copier stations.

Maintains the phone directory in PowerDMS.

Composes letters purchase orders and reports which may also include data entry printing/scanning projects and subject-matter research.

Schedules station visits/engine tours ride-alongs and parades and other department events as needed.

Assists with fulfilling open records requests.

Performs other duties as assigned.

MINIMUM QUALIFICATIONS

EDUCATION EXPERIENCE LICENSES & CERTIFICATIONS (An equivalent combination of education training and experience that demonstrates the ability to perform the duties of the position is qualifying.)

Minimum of a High school Diploma or equivalent GED.

One (1) year of responsible customer service or receptionist experience with public contact is required.

Must obtain CPR certification within one (1) year of hire.

NECESSARY KNOWLEDGE SKILLS AND ABILITIES

Ability to demonstrate strong customer service orientation.

Ability to establish and maintain effective working relationships with other SMFR employees the public and community organizations.

Ability to provide clear concise verbal and or written instructions to other employees and supervisors.

Ability to prepare clear concise and accurate reports correspondence and other written materials.

Ability to work independently and set priorities.

Ability to interact well with a diverse population with outstanding interpersonal and communication skills.

Knowledge of current versions of SMFRs hardware and software applications including telecommunications word processing programs office equipment copiers and audio/visual devices.

SUPERVISION RECEIVED

Works under the general supervision of the Assistant to the Fire Chief.

SUPERVISION EXERCISED

None.

EQUIPMENT AND SYSTEMS

Requires frequent use of personal computer including various software packages database and spreadsheet programs telephones mobile computers copy machines cameras and other general office equipment.

PHYSICAL DEMANDS

While performing the duties of this job the employee is regularly in a sedentary position. The employee may also be required to perform climbing balancing stooping kneeling crouching crawling reaching standing walking pushing pulling lifting fingering grasping feeling talking hearing seeing and repetitive motions. Requires nimbleness of hands for typing and writing. May be required to lift up to 25 pounds.

WORK ENVIRONMENT AND GENERAL INFORMATION

While performing the duties of this job the employee primarily works in a climate-controlled office environment.

The noise level in the work environment is usually moderate.

This position is on-site not available for remote work.
