RESPONSIBLE TO: Director of Operations and Planning
LOCATION: Cookstown

HOURS OF WORK: 35 hours per week
COMPENSATION: $64591.80 to $ 69906.20 annually
EFFECTIVE DATE: As soon as possible

INTRODUCTION:
New Path Youth and Family Services is an accredited childrens mental health agency providing a range of compassionate innovative and accessible services for children youth and their families throughout Simcoe County. New Path respectfully acknowledges we are situated on the traditional land of the Anishnaabeg people which include the Odawa Ojibwe and Pottawatomi Nations collectively known as the Three Fires Confederacy.



PURPOSE OF POSITION
Through responsive leadership and collaboration the Program Assistant Supervisor provides administrative direction to staff that is consistent with New Paths Vision Mission and Values Ministry guidelines and Accreditation standards.


A. Clinical Services and Programs
1. Support strategic and operational plans with a focus on youth family and staff engagement.
2. Co-develop and implement program policies procedures and systems that promote innovative and inclusive services and mitigate risk.
3. Ensure administration in all programs is adhering to Ministry guidelines Accreditation standards program fidelity and support quality client outcomes.
4. Initiate and attend planning meetings with key stakeholders as required.
5. In collaboration with the Director of Operations and Planning ensure monthly caseload sheets are up to date and being sent out to staff and supervisors.
6. Review Emhware data prior to quarterly submissions.
7. Respond to complaints in accordance with agency procedures.
8. Schedule Program Assistant (PA) staff to ensure adequate coverage for assigned programs.
9. Act as the site Supervisor for an office location addressing health and safety matters (incidents inspections Ministry visits fire and safety plans) maintenance concerns communication with other building tenants collaboration and communication with the Supervisors for the staff at the location. Hold site meetings as required.
10. Ensure fiscal accountability when processing financial transactions of staff or when committing resources in keeping to spending authority limits.
11. May take a lead on special projects.


B. Leadership and Supervision
1. Lead organizational change in accordance with Strategic priorities.
2. Actively participate in chair and support the Responsive Leadership Planning Team committees and other team meetings.
3. Provide support to the Director of Operations and Planning other Supervisors and back up support to PA staff as required.
4. Provide regular supervision to enhance motivation commitment and engagement of direct reports to ensure quality outcomes.
5. Learn understand and respond to unique needs values goals and strengths of individual team members.
6. Regularly acknowledge staff and other teams.
7. Foster and maintain a strong positive workplace culture where team members feel valued heard and involved in decision making that directly impacts their role.
8. Support the growth and professional development of staff through mentoring coaching and role modeling skills.
9. Represent the agency on internal and external committees taking on a leadership role as required to ensure successful meetings and achievement of agency goals. This can include speaking engagements presentations at conferences and media interviews.
10. In collaboration with People and Culture provide appropriate staffing through effective recruitment selection and orientation. Complete performance evaluations on an annual basis.
11. Provide support to staff with on-boarding mentoring development and evaluation of practicum students.
12. Provide supervision to practicum students as requested.


C. Community
1. Develop and maintain positive relationships with youth and their families staff partner agencies Ministry bodies and the community.
2. Represent the Agency in the community to facilitate collaborative relationships.
3. Represent the Agency on local working groups.
4. Participate in research activities as required.

D. General
1. Through actions supports the Mission Vision Values and Strategic Plan of New Path.
2. Reviews and adheres to all Policies and Procedures including: Administration; Finance; Client Services; Human Resources; Information Systems and all other.
3. Reviews and adheres to the Collective Agreement for bargaining unit members.
4. Adheres to manager responsibilities for Health & Safety as defined by the Occupational Health and Safety Act (OHSA) and applicable regulations.
5. Other duties as assigned.


QUALIFICATIONS
1. High School diploma with related administrative training.
2. Minimum of 3 years of administrative experience preferably in Childrens Mental Health Sector and 1 year leading and developing others.
3. Understanding of applicable legislation and regulations.
4. Effective use of databases electronic health records and Microsoft Office systems.

11. Commits to ongoing training to build the knowledge awareness and skills that contribute to creating a culturally safe environment for staff clients and families.
12. Effective judgment presentation research and problem solving skills.
13. Maintain professional skills through appropriate educational/development activities and professional affiliations.
14. Competency and effective use of database and Microsoft Office systems.
15. Confident articulate and professional when communicating verbally and in writing.

16. French language is an asset.


WORKING CONDITIONS/PHYSICAL REQUIREMENTS:

1. Eligible to work on-site in office and work from home.
2. Some evening weekend and holiday hours may be required.
3. Willingness to travel to other agency offices using personal vehicle. Must have valid drivers license with minimum G2.
4. Prolonged periods of sitting at a desk and working on a computer
