Position Summary


As a receptionist you will be the first point of contact for Securance. The role of a receptionist is to create a welcoming environment for the organization its clients and guests while performing a variety of administrative and clerical tasks.


Essential Duties and Responsibilities

The essential functions include but are not limited to the following:

  • Warmly greet and welcome guests upon arrival at the office.
  • Answer screen and direct incoming calls to appropriate staff; ensure client information is verified and updated during each interaction.
  • Maintain and update office calendars including conference room reservations CE courses and meetings.
  • Send calendar reminders for birthdays anniversaries employee news and internal announcements.
  • Manage office supply orders submit maintenance work orders as needed.
  • Oversee and support company social media accounts and Applied Marketing Automation initiatives.
  • Assist with planning and coordinating office events and staff functions.
  • Scan and electronically file documents and statements into the Applied Epic system.
  • Receive sort and distribute daily mail and package deliveries.
  • Monitor and manage the general company email inbox ensuring timely sorting and forwarding of communications.
  • Create and manage marketing automations for existing clients within Applied Epic.
  • Maintain a clean and organized front desk and conference room area; responsible for setting up and adjusting conference room dividers.
  • Decorate the front office space for holidays and special occasions.
Requirements

Minimum Qualifications (Knowledge Skills and Abilities)

Pleasant professional high-energy telephone voice

Proven work experience as a receptionist with superior customer service skills

Solid written and verbal communication skills

Excellent organizational skills and ability to pay close attention to detail

Resourceful and exceptional time management skills

Good understanding of Microsoft Office Suite

Availability to work between the hours of 8 am- 4:45 pm; Mon-Fri

Bilingual a plus

Applied Epic a plus


Physical Demands and Work Environment

Prolonged periods of sitting at a desk

Must be able to lift up to 15 lbs. at times
