Job Description

Position:Secretary/Registrar - Level 4

Location: DuncanLake Middle School

Reports To: Principal

Work Year: 208 Days (8 hours per day)

Salary Range: Starting wage is $16.57 or more depending on experience

Single-person medical benefits paid holidays

Position Summary

Perform a variety of clerical and secretarial functions in the processing of students and student records. Responsible for data input and retrieval and must make a variety of decisions within a framework of established procedures. Tasks are related to student records schedules attendance enrollment testing and various student-teacher record-keeping activities. Must be detail-oriented able to multitask and collaborate with co-workers.

Essential Functions/Primary Responsibilities

  • Highly organized and efficient professional who is passionate about supporting students teachers and parents
  • Treat all building stakeholders with kindness and respect
  • Manage all office functions in a fast-paced environment
  • Responsible for all purchasing at the District level
  • Serves as the building PowerSchool coordinator which includes assisting staff and parents with inquiries
  • Maintain all student CA60 files
  • Create and maintain the school master schedule
  • Process all schedule changes
  • New student registration
  • Tour prospective students/parents around building
  • Building School of Choicecoordinator
  • Process records of those students entering or leaving the District.
  • Responsible for grade reporting transcripts and report cards
  • Skilled in word processing and spreadsheet creation/management
  • Communicate with all building stakeholders regularly
  • Support the principal in all aspects of managing and leading the school
  • Additional duties as assigned

Employment Qualifications

  • EDUCATION: This position requires knowledge equivalent to that which normally would be acquired through the completion of a high school diploma or an Associates degree in a related field.
  • EXPERIENCE: A minimum of one to three years of progressively more responsible or expansive secretarial experience in a public education setting is preferred.

  • Highly flexible with excellent attendance
  • Ability to communicate effectively orally and in writing
  • Ability to work as part of a team
  • Excellent computer skills
  • Knowledge of principles and practices of basic accounting
  • Ability to utilize technology to accomplish assigned tasks
  • Must maintain confidentiality
  • Remain free of any alcohol or non-prescribed controlled substance abuse in the workplace throughout his/her employment in the District

Preferred:

  • Knowledge of school software systems
  • Experience working in a school district
  • Experience as a school secretary

Physical Demands

While performing the duties of this job the employee is regularly required to sit use hands to finger handle or feel; talk and hear. The employee is occasionally required to stand walk reach with hands and arms and stoop kneel crouch or crawl. The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus especially due to concentration on a computer screen and small numbers.
