Summary:
The Director of New Project Development is responsible for cultivating and maintaining strong relationships with developer clients and overseeing the successful launch management and transition of new communities. This role guides the community management team through the forward planning process active development and eventual turnover of common areas to homeowner-controlled boards. The Director supervises and serves as a mentor and resource for Community Managers working in New Development.

Requirements
Essential Job Duties and Responsibilities:
Leadership & Team Oversight
- Supervise coach and develop New Development Community Managers to ensure quality service and retention of accounts.
- Monitor team performance conduct evaluations provide regular feedback and manage disciplinary actions as needed.
- Lead recruitment onboarding and training of new team members.
- Ensure compliance with company policies HR guidelines and labor laws.
- Promote a positive collaborative team environment and uphold company values standards and Moments that Matter initiatives and behaviors.
Client Service & Account Management
- Maintain an individual account portfolio and provide transitional support for accounts when managers are reassigned.
- Oversee the timely execution of annual meetings elections and other key milestones.
- Ensure high-quality documentation and communication: review minutes board packets and mailings for accuracy and consistency.
- Attend key meetings to support new managers and ensure successful account launches.
- Serve as a liaison for escalated board or community issues and provide support in resolving complex matters.
- Maintain consistent communication with clients and follow up on concerns or feedback.
Project Development & Forward Planning
- Participate in forward planning meetings to structure new communities and amenities.
- Review and assist with the development of governing documents rules and architectural guidelines and homeowner onboarding.
- Coordinate new community setup including forms banking document collection and administrative approvals.
- Oversee sub-metering setups maintenance plan reviews and full vendor bidding and selection processes.
- Ensure common area turnovers follow company policy and are well-documented.
- Ensure CINC set-up architectural tracking and on-call sheets are prepared for the Community Manager and Corporate team.
Transition & Close-Out
- Manage the transition of communities from New Development to Portfolio Management upon build-out.
- Facilitate meetings between managers and district leadership to ensure smooth transitions.
- Confirm annexation schedules and documentation are complete provided to the Developer and appropriately archived.
Business Development & Client Relations
- Identify and pursue potential new developer clients.
- Attend industry events and presentations (BIA CAI IREM CACM) to represent the company and promote services.
- Collaborate with executive leadership to address client concerns and refine service strategies.
- Practice and adhere to Keystones Core Values Mission and Vision.
- Any additional job duties as required by the supervisor.
Qualifications:
- Excellent interpersonal skills.
- Strong verbal and written communication skills. Able to effectively write and proofread newsletters.
- Proven leadership ability in mentoring motivating and developing teams.
- Strong collaboration and relationship building skills.
- Ability to hold others and themselves accountable for high performance.
- Excellent organizational multitasking and time management skills in a fast-paced environment.
- Proficient in Microsoft Office Suite Microsoft Teams and industry-related software (e.g. CINC Caliber).
- Solid understanding of HOA management principles and developer operations.
- Professional demeanor with excellent customer service and problem-solving skills.
- Ability to manage confidential matters and exercise sound judgment independently.
Education and/or Experience:
- Minimum of two years of direct experience.
- Minimum two years of supervisory experience.
- CMCA certification required; PCAM preferred or in progress.
- High school diploma or GED required.
- Bachelors degree in business is desired.
