The Temporary Facilities Management Coordinator will provide operational support to the Director of Facilities and Workplace Services and department with all facilities related needs and serve as the liaison between the stores and the corporate office. Assist with data management prepares reports coordinate information requests arranges conference calls and ad-hoc projects as needed.

This position is part-time (requires 28 hours per week) and will follow a hybrid schedule. Our in-office schedule is Tuesdays Wednesdays & Thursdays.

Responsibilities:

  • Build relationships and collaborate across departments and teams internally and externally.
  • Comprehend and interpret instructions meeting agendas and memos to ensure appropriate follow up.
  • Answer common inquiries or complaints from internal customers.
  • Process invoices in SAP and JP Morgan online system.
  • Assist in problem solving routine issues.
  • Assist in tracking expenditures against project budgets using Excel.
  • Provide support summarizing store capital expenditure requests for future projects.
  • Create reports as needed and manage correspondence to customers.
  • Run reports on spending for store construction and day-to-day facility issues.
  • Maintain various facility logs and files electronically and paper.
  • Support additional projects as required.

Requirements:

  • Bachelors Degree is a plus
  • Must have a can do attitude and is willing to learn new things
  • Must be very organized and have great follow through skills
  • Must be MS Office proficient with strong Word & Excel Skills
  • Must be able to multi task and think on your feet in a fast pace environment
  • Must have a strong urgency in resolving issues as they arise
  • Ability to work independently and collaborate in a team setting.
  • Accurate note taker and good listener
  • Experienced and comfortable communicating via multiple channels (i.e. Zoom Teams email)
  • Excellent verbal and written communication skills
  • Strong organizational and planning skills to ensure timely and accurate execution of responsibilities with impeccable attention to detail (clear formatting typos system entry)
  • Proficient at handling multiple tasks with the ability to shift gears at a moments notice
  • Ability to interface with team members at all levels as well as external vendors
  • Experience with SAP a plus

The hourly rate for this position is $15.50.
