What youll be doing
- Manage appropriate systems to ensure effective and efficient day-to-day administration including general correspondence purchasing document management collation of data and reports.
- Create monitor and/or maintain accounts for various contractors and suppliers as per operational requirements.
- Manage customer service requests complaints general enquiries and transactions (where appropriate).
- Assist the community by providing accurate information and advice about Council services in a polite friendly and professional manner.
- Setup rooms as outlined on room setup sheets.
- Reset rooms in required timeframes as specified on room setup sheets.
- Trouble shoot / update computers and other technological equipment as appropriate.
- Ensure that venues are tidy and always presented in a professional manner this may include performing such duties as vacuuming rooms doing dishes sweeping wiping tables cleaning kitchens etc.
- Ensure that opening and closing venue procedures are correctly implemented at the beginning or end of the day when required.
- Assist trainers / presenters with their needs as appropriate and induct them into the facility with information as required such as emergency procedures and housekeeping.
The skills and experience youll bring to the role
- Proficiency in the application of standardised community facility work procedures and practices including set up and pack down of furniture and operation of facility equipment e.g. cleaning use of laptop / data projector setup.
- Knowledge and/or proficiency in the use of booking and administration systems within a community setting.
- Commitment to quality customer service provision and the ability to follow through all enquiries effectively and efficiently.
- Demonstrated competency in Microsoft Office Suite (Word Excel PowerPoint and Outlook) and proficiency in keyboard usage along with accomplished grammar and spelling.
- Ability to ensure that all enquiries from members of the public are dealt with in such a manner which reflects Councils professional standards and commitment to quality Customer Service.
- Understanding of personnel practices including those related to Equal Employment Opportunity (EEO) and Occupational Health and Safety (OH&S) and the ability to provide employees with supervision guidance and on the job training.
Required Certifications & Qualifications
The following qualifications and experience are required for the position:
- A nationally recognised Certificate in a related discipline (Administration or Customer Service) or relevant experience.
- Experience in the provision of quality customer service.
- Experience in both face-to-face and telephone customer services.
- Current drivers license and use of a private vehicle along with the ability to travel to work remotely in and across a range of centres / facilities.
