This role will be on site and reporting to our Charlotte office.

What you will do:

This is an important role to keep our Charlotte office operating smoothly and efficiently! In the Regional Services Coordinator position youll engage with several members of our team and be a liaison to other office locations though administrative and operational support; executive calendar management; event and project coordination; finance and procurement; and employee onboarding and licensing. Essential functions:

  • Manage incoming and outgoing mail including agency mailings and thank-you notes to agents.
  • Compose correspondence and maintain follow-up on routed documents.
  • Coordinate company events conferences and team-building activities.
  • Assist with budget planning expense tracking and financial reporting.
  • Support onboarding of new employees including training agendas business cards and corporate credit setup.
  • Create Purchase Orders and pay invoices as requested.
  • Support licensing requests including appointments and terminations.
  • Maintain filing systems records management and office flow procedures.
  • Provide technical support generate reports and assist with departmental initiatives.
  • Monitor office supplies and equipment; make purchasing recommendations and maintain expense records.
  • Schedule appointments and manage calendars for Regional Senior Vice Presidents and hub office leaders.
  • Greet and assist visitors and callers; coordinate travel arrangements and itineraries.
  • Serve as the on-site liaison with building management and outsourced IT support.
  • Support regional claims operations including preparing outgoing mail.
  • Assist with project coordination data gathering and deadline tracking.
  • Maintain confidentiality and manage sensitive information with discretion.

Additional responsibilities:

  • Ensure office machine functionality including maintenance and supply management.
  • Performs other duties as assigned.
  • Conforms with all corporate policies and procedures.

What you need:

  • Associates Degree in Office Technologies or Office Administration preferred or equivalent business experience.
  • Minimum 3 years of experience in administrative support roles.

Salary range: $57000 - 70500

The final salary to be paid and position within the internal salary range is reflective of the employees work experience their geographic location education certification(s) scope and responsibilities in the role and additional qualifications.
