Job Description

Job Summary:


The Site Administrator provides high-level administrative and operational support to ensure smooth day-to-day office functions at an R&D facility. This role handles front office operations supports the Research and Development team coordinates travel and scheduling logistics and manages a variety of internal services. Serving as a central point of communication and organization the Site Administrator helps maintain a professional efficient and service-focused workplace.

Key Responsibilities:

  • Greet visitors manage front desk reception and ensure compliance with site sign-in and safety procedures.
  • Answer and route incoming phone calls handle general inquiries and maintain a welcoming and responsive office environment.
  • Coordinate travel arrangements as needed including booking flights accommodations car rentals and preparing itineraries.
  • Assist with scheduling meetings lab tours and internal events including room reservations and refreshments.
  • Support expense reporting and travel reimbursement processes in alignment with company policy.
  • Monitor and maintain inventory of office breakroom and safety supplies
  • Place orders as needed to support R&D operations and manage vendor relationships
  • Distribute incoming and outgoing mail packages and other communications.
  • Maintain filing systems update administrative records and support document control efforts.
  • Assist with onboarding administrative setup for new employees and coordination of training logistics.
  • Serve as a liaison between office staff and facility/maintenance contacts for minor building or equipment needs.

Qualifications:

  • High school diploma or equivalent required; associate degree or additional administrative training preferred.
  • 2 years of administrative or office support experience preferably in a manufacturing or industrial environment.
  • Experience coordinating business travel and managing multiple calendars is a strong plus.
  • Strong organizational skills attention to detail and ability to multitask effectively.
  • Professional communication and interpersonal skills.
  • Proficient in Microsoft Office Suite (Outlook Word Excel PowerPoint) and comfortable learning new systems.
