Job Description

PRIMARY PURPOSE:

Assist the Chief Human Resources Officer and Directors in the general operation of the Division of Human Resources to assure that the personnel-related affairs of the district are accurately and timely executed to ensure effective student learning within the district.

QUALIFICATIONS:

Education/Certification:

High School Diploma or equivalent required

Special Knowledge/Skills:

Ability to follow verbal and written instructions

Ability to follow procedures

Ability to operate machines regularly used in performing job tasks

Knowledge of the different computer programs and accounting procedures

Good writing and communicating skills

Experience:

Five (5) years clerical/secretarial experience required

Workdays: 226

Clerical/Technical Pay Structure: Pay Grade7

Pay Date: Monthly

Hourly Pay Range:

Minimum: $21.75

Midpoint: $26.05

Maximum: $30.35

Note:Starting pay for a new hire in a pay range plan will be determined individually based on each persons job-related experience and salaries paid to peer employees in the same position with similar experience.

MAJOR RESPONSIBILITIES AND DUTIES/ESSENTIAL FUNCTIONS:

  1. Manage the office for the Chief Human Resources Officer and the Human Resources Directors.
  2. Perform general office routines and practices.
  3. Read and disseminate incoming mail to appropriate staff.
  4. Schedule appointments conferences and meetings with employees consultants and staff.
  5. Coordinate and communicate all telephone and walk-in requests made by employees staff and the general public.
  6. Make arrangements and prepare all meeting packets (i.e. Division Meetings JPCC Policy Committee etc.).
  7. Assist in reviewing and updating TASB/Board Policies (i.e. typing submitting to TASB submitting to Board etc.)
  8. Maintain a daily schedule of appointments answer the telephone direct calls and maintain a file of telephone messages.
  9. Prepare assigned agenda items for Board presentation; for example Board/TASB Policies City endeavors purchases etc.
  10. Assist in providing documentation or backup for reports requested by staff and board members.
  11. Process Human Resources Department payables and purchase orders through the finance system using the Financial Accountability System Resource Guide account codes.
  12. Prepare and arrange forms for travel including meals hotel air travel mileage and miscellaneous expenses and keep a detailed total of travel expenses.
  13. Responsible for Time-clock Plus edits for Human Resources staff.
  14. Maintain confidentiality of communications and records.
  15. Assist in the process and organization of Elections.
  16. Assist in the process and organization for JPCC.
  17. Follow McAllen ISD customer service standards.
  18. Perform other duties assigned by immediate supervisor (primary evaluator).
