The Purpose:

As a Sales Operations Associate youll play a critical role in keeping our sales engine running smoothly by owning the processes that support RFI and RFP execution pipeline maintenance and front-line sales efficiency. Reporting to the Sales Operations Manager youll be the go-to resource for organizing proposal workflows maintaining CRM data integrity and ensuring the sales team has the right tools and information to execute at pace.

This role is designed for someone ready to dive into the operational backbone of B2B salesdeveloping a strong foundation in deal mechanics proposal strategy and sales process optimization.

Sales doesnt happen in a vacuum. Every closed deal is backed by hours of prep data validation content curation and cross-functional coordination. Thats where you come in.

This role is the operational core of how we respond to RFI and RFP opportunities how we maintain a clean and accurate pipeline and how we make sure every rep is set up for success. If youre detail-obsessed process-driven and eager to learn the systems that drive enterprise sales from first touch to final signature you wont just support the sales teamyoull help scale it.

The Job

  • RFP Coordination: Assist in managing the RFP process by collecting necessary inputs from internal teams compiling proposal documents and ensuring submissions are completed on time.
  • Content & Resource Support: Help maintain and organize sales collateral such as presentations case studies and brochures in collaboration with marketing to ensure sales has access to updated relevant materials.
  • Sales Technology Assistance: Support the sales teams use of CRM systems (such as HubSpot and Microsoft Dynamics) by updating records tracking interactions and assisting with reporting.
  • Sales Process Support: Work with the Sales Operations Manager to identify and address minor process improvements helping to streamline internal workflows and ensure efficiency.
  • Onboarding & Training Support: Assist in the onboarding process of new sales team members by helping with training materials and setting up their access to necessary sales tools.
  • Data Entry & Reporting: Assist with entering data into CRM systems and generating reports that provide visibility into sales activities pipeline status and performance metrics.
  • Feedback Loop Contribution: Gather feedback from the sales team on any challenges or areas needing improvement and relay this information to the Sales Operations Manager for process refinement.

Success Metrics

  • Timely RFP Submissions: Ensure that all RFPs are completed and submitted within the required deadlines.
  • Content Availability: Support the creation and maintenance of a well-organized content library making sure sales materials are up-to-date and easy to access.
  • Accurate Data Entry: Maintain accurate CRM data ensuring that all interactions and updates are properly recorded.
  • Team Support: Help with the smooth onboarding of new team members and provide ongoing operational support to the sales team.

The Person:

  • Education & Experience: 0-2 years of experience in sales support operations or related fields. Previous internships or experience in an administrative or customer service role is a plus.
  • Technical Skills: Familiarity with Microsoft Office Suite (Word Excel PowerPoint) and an eagerness to learn CRM systems like HubSpot or Microsoft Dynamics.
  • Organizational Skills: Strong attention to detail and the ability to manage multiple tasks and deadlines.
  • Communication Skills: Good written and verbal communication skills to assist in coordinating across teams and departments.
  • Team Player: A willingness to collaborate with other departments and assist wherever needed.

Career Path

This entry-level position provides an opportunity to learn and grow within the sales operations function. Over time with strong performance the Sales Operations Associate can advance to more senior roles within sales operations project management or sales enablement contributing more deeply to larger sales strategies and processes.
