General Description / Primary Purpose
Under the direction of an Assistant Director or above assists in the design development and implementation of departmental processes and/or programs related to Student Union operations.
This work consists of coordinating Student Union operations functions including student engagement programs budgets purchasing Human Resources managing the New Hire Orientation program and supporting projects. In addition includes supervising an OPS student Operation staff responsible for operations and programming support.
Job Functions
Operations Management:
- Recommends policies and procedures to ensure effective coordination of departmental operations.
- Partners with Procurement Services to research and purchase event programming and facility support supplies and inventory averaging $50000 annually.
- Responsible for all student OPS and professional staff hiring including updating PDs posting job openings managing the interview process and completing hiring tasks.
- Responsible for development and supervision of a half-day New Hire Orientation for up to 75 student OPS employees annually.
- Manages Student Union website and campus-wide communications for programming initiatives.
- Manages daily operation of professional portraits booth which includes scheduling any routine maintenance needs monitoring and managing usage requests and reviewing all content periodically on the schedule set by the department to ensure compliance.
- Completes all key requests.
- Supports Student Union Advisory Board operations.
- Responsible for department safe including issuing and deleting safe codes for personnel changes safe audits cash box management and processing departmental deposits according to University guidelines.
- Assists with operations and program related projects.
- Backup to Operations Coordinator responsible for Game Room operations Game Room programming elements Student Union lounge spaces budgets and purchasing.
Student Engagement:
- Executes Market Days program including coordination of event logistics approval of vendor safety plans vendor registration with appropriate university departments and vendor contract approval and payment processes.
- Provides Event Coordinator logistical needs for Market Days events including event work orders vendor vehicle registration and other necessary licensures and event-related special requests. Responsible for programming stakeholder communication.
- Responsible for conducting research that focuses on programming trends and generating creative ideas to better engage students in a college campus environment. Securing collaboration opportunities with Student Union building partners.
- Develops and manages projects related to Student Union programs and student programming initiatives including vendor selection supervision and approval of satisfactory completion of project deliverables.
- Completes purchasing process for programming elements and items based on student and student employee feedback.
- Develops new resources and maintains current resources.
- Completes comprehensive post-event documentation and actions including reporting assessments meetings and updates.
- Partners with Office of Assessment to analyze student engagement programs and makes program updates based on data analysis.
Student Development:
- Supervise train and schedule student Operations Assistant team responsible for assisting in overall Student Union daily operations including programming planning and event support routine building walkthroughs identifying maintenance custodial safety accessibility and risk management issues. Additional student team duties include purchasing support inventory counts and administrative duties to support professional staff and administering New Hire Orientation.
- Supervise train and schedule student Marketing team responsible for social media content creation facility signage and branding photography and digital signage.
Marginal Functions
- During declared campus emergencies this position may be required to perform specific job-related duties at a designated off campus location or place of residence.
Required Qualifications: This position requires either (a) Masters degree from an acceptable accredited institution in a directly related area of specialization ; (b) Bachelors degree from an acceptable accredited institution in a directly related area of specialization and two years of experience directly related to the job functions; or (c ) 6 years of direct experience.
