Position Summary
WeCare Medical Specialty Group is seeking a highly organized proactive and resourceful Remote Executive Assistant to provide high-level administrative support to senior executives. The ideal candidate will be a strategic thinker with exceptional communication and problem-solving skills capable of managing multiple priorities and maintaining strict confidentiality.
This is a remote position open to candidates located within the United States and U.S. work authorization (citizenship or valid permit) is required.
Key Responsibilities
Manage complex calendars and schedule meetings appointments and travel for executive leadership.
Coordinate and prepare for internal and external meetings including drafting agendas taking minutes and following up on action items.
Draft proofread and manage correspondence reports presentations and other documents.
Act as a liaison between the executive team and internal/external stakeholders.
Conduct research and compile data to support strategic planning and decision-making.
Track and manage project timelines deadlines and deliverables for executive-level initiatives.
Handle confidential and sensitive information with a high degree of discretion.
Assist with operational and administrative tasks including expense reporting invoicing and budget tracking.
Support onboarding processes for executive hires or departmental staff when necessary.
Qualifications
Required:
U.S. Citizenship or Valid U.S. Work Permit
Proven experience as an Executive Assistant Administrative Assistant or in a similar role supporting senior leadership
Excellent written and verbal communication skills
Strong organizational and time management abilities with high attention to detail
Ability to work independently take initiative and adapt in a fast-paced environment
Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and cloud collaboration tools (e.g. Google Workspace Zoom Slack Trello Asana)
Experience managing calendars travel and high-level correspondence remotely
Preferred:
Experience in healthcare or medical services industry
Familiarity with EHR/EMR systems or healthcare administrative processes
Bachelors degree in Business Administration Communications or a related field
Work Environment & Schedule
Fully Remote Candidates must reside in and be authorized to work in the United States
Full-Time Monday to Friday (occasional availability outside business hours may be required)
