Position Description:The Race and Events Coordinator will be responsible for all aspects of the process from planning to execution including managing logistics budgets staff and volunteers. This role involves maintaining an eye for detail while also providing an overall exceptional athletic experience for all participants.
Relationships:
- Reports to Owner
- Works closely with Store Managers E-Commerce Manager and Race Logistics Coordinator
Responsibilities include but not limited to:
Event and Outreach Management:
- Develop event concepts themes and programs; Coordinate logistics vendor contracts and timelines.
- Oversee and manage event budgets ensuring expenses stay within allocated limits
- Manage race/events calendar on store platforms website store app and social media
- Establish and grow partnerships with medical practices and health clubs via email and meetings
- Manage and update all literature (brochure prescription pads introduction letter)
- Recruit train and manage staff and volunteers to support event operations
- Work with Marketing Manager to maintain literature and promote events to attract participants and attendees
- Communicate with staff vendors and attendees to ensure a positive experience
- Deliver gift baskets during holidays to businesses that have partnershiped with CT Run Co
- Maintain current and accurate records of areas of outreach and their outcomes
Race Management:
- Manage race registration processes including online registration platforms and timing systems
- Recruit volunteers and serve as point of contact for participant troubleshooting
- Manage all aspects of pre and post race logistics including but not limited to
- Order race asset - bibs timing chips medals t-shirts signs/banners etc
- Work with Owner on managing sponsors - presenting deck invoice/contract
- Work with the Logistics Coordinator to mark the course
- Wrap up on race platform deliveries to sponsors Thank-you emails to volunteers
- Provide post-race summary report to Owner
- Manage storage inventory
Qualifications:
- Minimum 1-2 years of event management experience
- Proven ability to work with diverse peers community and volunteer groups
- Skillful communicator able to effectively interact with a diverse group of personalities
- Available to work non-traditional business hours during all events and to attend morning meetings
- Able to handle a busy deadline-driven environment with attention to detail
- Passion for running and fitness with a commitment to promoting active lifestyles
Status:Full-Time exempt hybrid work environment with one in-office day
Salary: $44000 to $50000 per year
