Collect and process detailed incident reports following vehicle accidents cargo claims property damage or other safety-related events involving drivers contractors or equipment.
Coordinate post-accident drug and alcohol testing in accordance with DOT/FMCSA regulations and company protocols.
Maintain thorough and compliant records for all incidents and claims to meet internal policy standards and federal/state regulations.
Enroll new independent contractors (owner-operators) and their equipment into the companys insurance programs ensuring all required documentation is submitted and verified.
Administer weekly insurance premium deductions through contractor settlements and ensure accurate tracking and reconciliation.
Monitor the status expiration and sufficiency of insurance coverage (auto liability cargo physical damage etc.) for all owner-operators contracted through third-party programs.
Partner with insurance brokers and carriers to address policy coverage issues endorsements renewals and certificate requests.
Issue certificates of insurance to customers permit agencies or partner carriers as needed to facilitate load movement and regulatory compliance.
Work with internal operations legal counsel and third-party brokers to investigate and resolve cargo claims driver-related liability issues and subrogation matters.
Maintain the cargo claims database including supporting documentation and payment records.
Generate weekly KPI and trend reports related to incidents claims activity and insurance compliance for management review.
Serve as a liaison between the Risk Management department and terminals dispatch safety and fleet management teams.
Assist with audits risk assessments and development of safety and claims mitigation procedures.
Perform other administrative duties as required to support transportation risk initiatives.
Education and Experience:
Associate or bachelors degree in Risk Management Transportation Logistics Business Administration Insurance or a related field preferred.
Minimum of 2 years of experience in a transportation logistics or trucking environment focused on insurance risk safety or compliance functions.
Skills and Competencies:
Solid understanding of transportation insurance requirements and claims processes (cargo auto liability physical damage).
Familiarity with FMCSA and DOT compliance regulations and reporting requirements.
Strong organizational and documentation skills with an emphasis on accuracy and compliance.
Proficient in Microsoft Office Suite (Word Excel Outlook PowerPoint).
Excellent interpersonal and written communication skills; ability to work across departments and with third parties.
Experience with transportation management systems (TMS) or claims management software is a plus.
Ability to handle confidential and sensitive information with discretion.
Strong problem-solving skills and the ability to work independently in a high-pressure time-sensitive environment.
Work Schedule:
Monday through Friday 8:00 AM to 5:00 PM
Bi-weekly on-call rotation required for after-hours accident and incident reporting
