Job Description

Job Summary

Under the general direction of the Deputy for Title IX and Equal Opportunity the Hearing and Intake Specialist provides case management undertakes varied complex duties tasks and projects involving a full range of policy and administrative issues including conducting intake meetings following up with other campus personnel to provide supportive measures coordinating hearings for investigations requiring hearings under the CSU Nondiscrimination Policy overseeing the Offices finances and budget and providing data analysis and reports in response to internal and external requests. The Hearing and Intake Specialist is responsible for supporting the implementation of significant aspects of university compliance with California State University (CSU) Executive Orders regarding discrimination harassment and retaliation among employees students and third-parties.

Key Responsibilities

  • Responsible for the logistical aspects of hearings including but not limited to: Scheduling; Notifying witnesses and securing their attendance; Ensuring the Hearing Officer Parties and witnesses are provided with any necessary and appropriate materials for the hearing.
  • Coordinate all technical aspects of videoconferencing for hearings.
  • Act as liaison between the Parties witnesses and the Hearing Officer on all procedural matters.
  • Attend hearings.
  • Ensure adherence to post-hearing procedures and deadlines including submission of report appeal notifications and any sanctioning referrals.
  • Provide feedback to the Hearing Officer Associate Vice President for Title IX and Equal Opportunity and/or Systemwide Senior Director Civil Rights.
  • Initiate review write and edit correspondence conduct intake meetings document the meeting and all follow up.
  • Send outreach in response to reports of potential Nondiscrimination Policy concerns conduct intake meetings with affected persons offer and provide supportive measures work with campus partners to implement such measures notify the AVP in the event an investigation is requested.
  • Research and analyze information needed for resolving issues and problems and provide recommendations for action and program or system improvement.
  • Collect analyze and synthesize reports of discrimination harassment and retaliation data and provide recommendations on reporting strategies.
  • Serve as the subject matter expert of the Offices case management system (Maxient or Case IQ) and offer case management system assistance to users.
  • Compose correspondence and reports including annual reports to the Chancellors Office and campus senior leadership.
  • Maintain and oversee expenditures and adherence to budget; facilitate and reconcile expenditures; participate in budget preparation during each academic cycle; and onboard new vendors using university processes.
  • Conduct Title IX and Equal Opportunity reference checks for employees and student leaders.

  • Demonstrated commitment to serving a diverse population with cultural competence and sensitivity as well as the ability to work with a wide range of constituencies including staff students faculty administrators and third parties with diplomacy and tact
  • Possession of strong organization and analytical skills
  • Ability to maintain confidentiality exercise good judgment on sensitive matters and appropriately handle sensitive communications with employees and external agencies
  • Ability to make decisions in situations where guidelines do not exist
  • Ability to define problems establish facts collect data draw conclusions and to effectively present information when responding to questions from internal and external customers
  • Ability to investigate and analyze information reason logically and draw conclusions
  • Demonstrated ability to create compose and edit complex reports correspondence and create effective presentations
  • Ability to handle a significant caseload and manage multiple priorities and deadlines in a timely manner

Required Qualifications

  • Bachelors degree or professional training program specific to the position and directly related work experience or a combination of education and experience which demonstrates the ability to perform the essential functions of the position
  • Three years of administrative work experience

Preferred Qualifications

  • Experience in a higher education environment
  • Professional experience facilitating or administering intake meetings
  • Possess training in Title IX and Title VI compliance
  • Demonstrated ability to read and interpret legal documents
  • Demonstrated ability to interpret develop and apply policies
  • Paralegal experience and/or training
  • Demonstrated knowledge of CSU policies and procedures

Compensation

Classification: Confidential Administrative Support III
Anticipated Hiring Range: $7500/month - $8000/month
CSU Salary Range: $5102/month - $12724/month
