Administrative Coordinator
Full time: 7:45 am to 7:00pm
Location: Westlake

We are currently seeking an Administrative Coordinator to support the Therapy Services Department.
Responsibilities include but are not limited to:
- Performs administrative coordinator duties for the Therapy Services Department.
- Schedules client appointments following Request For Service & Intake procedures.
- Facilitates completion of intake paperwork necessary to start service.
- Creates and maintains client files.
- Required to assist with coverage for the front office on a weekly basis
- Manages and maintains Placement Lists for OT PT & SLP outpatient and ITC services.
- Enters client data into client database and other computer systems and runs/sends out routine reports.
- Sends treatment plans to physicians; facilitates obtaining signature/return; maintains tracking spreadsheet.
- Prepares and sends letters to families when requested by therapists and/or social workers and per program procedures.
- Coordinates therapy client transportation: creates and updates van drivers schedules places clients on the transportation schedule reviews transportation weekly log for accuracy.
- Assists with program supply and equipment purchases to include best pricing completion of purchase orders placing orders and tracking to completion.
- Provides coverage for the Receptionist during breaks lunches and occasional absences.
- Assists Therapists with clerical support as needed.
- Processes external and internal record requests for therapy documentation.
- Prepares and sends out mailings to families referral sources and other targeted groups as requested. Provide feedback and follow-up to Department director as needed.
- Assists with upkeep on copy machines in file rooms and printers in Therapy wing
Requirements and Qualifications:
- High School diploma or GED.
- Ability to work at both our Highland Hills and Westlake locations.
- Must demonstrate and respect confidentiality regarding clients/families staff and program operations.
- Ability to manage a multi-line phone system.
- Three to five years of professional experience in Office Administration/Program Support.
- Excellent interpersonal organizational multi-tasking and communication/telephone skills
- Self-starter with ability to work independently and as part of a team.
- Proficiency with Microsoft Office Suite (Excel Word Outlook SharePoint) and Internet.
- Experience with scheduling appointments for multiple staff
