Heeton UK has a portfolio of 10 UK-based hotels including world-famous brands such as DoubleTree by Hilton Hampton by Hilton Holiday Inn Express and Hotel Indigo as well as Heeton Concept Hotels.
We have a fantastic new position for a Project Coordinator to assist with the day-to-day management of projects across the Heeton UK portfolio. The role involves tracking project budgets communications and specification details as well as administering contracts appointments and financial documentation. You will source quotes communicate with suppliers and internal stakeholders and ensure that all project resources are kept up to date.
This role can be based out of our Leeds or London office with potential travel to all UK-based sites.

What we need from you

- Familiarity with legal documentation. Contracts Letters of Appointment Non-disclosure agreements and terms and conditions.
- Experience with financial trackers forecasting documents and financial reporting
Your day-to-day
- Maintenance of the Heeton shared project resources and shared folders.
- Administration of projects and resources on Procore.
- Production of internal documentation.
- Sourcing quotes for projects.
- Communication with other internal teams.
- Communication with suppliers.
- Updating trackers with project costs updates and timelines.
- Building and maintaining supplier data to serve as reference points for future purchases.
- Tracking and reporting on deliveries project payments and project schedules.
- Checking and filing key project documentation such as warranties contracts and schedules
- Meeting and developing working relationships with suppliers.
- Visiting suppliers to ensure they can deliver to our expectations in a way that reflects well on us as a company.
- Attending trade shows and events to meet/source new suppliers and represent Heeton.
- Developing knowledge of new developments in FF&E and OS&E to ensure we are making good decisions when purchasing.
- Contributing constructively to project team meetings providing ideas and feedback.
- Recording and scheduling meetings for the project team.
