Job Description

We are currently hiring for a Front Office/Patient Access Specialist. This is a 0.6 FTE (24 hours/week) position. The work schedule will typically consist of three (3) 8-hour shift per week. The days will primarily be on Mondays Tuesdays and Thursdays with hours ranging between 7:30am to 5:00pm. There will be no evenings weekends or holidays. This position is located at our Mankato Clinic in Mankato MN and is benefit eligible!

This position exists to provide access for patients families and providers to Gillettes complex services throughout Greater Minnesota. This position promotes and maintains excellence by providing a positive patient and family experience as the first impression of the organization. This position is expected to maintain and promote excellent customer service by supporting the efficient running of the Greater Minnesota clinics through clinical and administrative duties.

Duties include patient access greeting and assisting patients and visitors in person as well as over the phone phone coverage registering patients scheduling patients rooming patients assisting with heights & weight assisting with transferring of patients assisting with managing the Greater Minnesota work queue providing administrative support to clinic employees by ordering non-medical supplies for Greater Minnesota clinic they support. This position may be asked to travel to other Greater Minnesota clinics and/or may be asked to remotely cover another Greater Minnesota clinic.

Compensation & Benefits Information

The hourly wage for this opportunity is $22.22/hour to $33.34/hour with a median wage of $27.78/hour. Pay is dependent on several factors including relevant work experience education certification & licensure and internal equity. Hourly pay is just one part of the compensation package for employees. Core Responsibilities and Duties

Information Finds effectively uses and provides information when requested. Readily adjusts to shifting priorities and work assignments.

  • Utilizes all available resources (technology/people) to optimize the patient experience.
  • Provides quality complete and timely registration/scheduling of patients.
  • Coordinates appointment appropriateness and urgency in collaboration with nurses and providers.
  • Consults with providers nurses supervisors and other appropriate resources to resolve complex patient needs or scheduling issues.
  • Demonstrates critical thinking skills and is resourceful in finding solutions.
  • Knowledge of insurance plans to verify insurance coverage and eligibility and payer requirements.
  • Obtains/updates and document patient demographic financial and medical information with a high level of accuracy for the provision of services and is accountable to provide quality complete timely registration and scheduling of patients to maximize financial return to Gillette Childrens Specialty Healthcare.

Accurate and Efficient Work Demonstrates accuracy efficiency and completeness in products and processes. Performs tasks with appropriate urgency and accuracy while reducing waste through proactive time management.

  • Consistently follows all current department and organizational guidelines and workflows. Includes: intake registration and scheduling.
  • Utilizes critical thinking skills to identify high risk or complex patients during a hand-off to RN and/or other medical professionals.
  • Demonstrates high attention to detail and use appropriate tools ensuring all patient demographics and insurance is accurate.
  • Demonstrates accuracy in creation of scheduling encounters and appointments.
  • Meets scorecard standards for the department.
  • Takes initiative and proactively identifies productive way(s) to use downtime.

Competence in Technology Required of the Position Demonstrates understanding of the tools and systems needed to accomplish work.

  • Demonstrates competency in organizational systems including registration scheduling electronic medical record office equipment online resources and other relevant technology to perform all necessary registration and scheduling functions.
  • Demonstrates basic Microsoft Office Suite knowledge: Word Excel Outlook

  • Adheres to all organization and department policies guidelines workflow to eliminate errors in practice.
  • Adheres to organization and department attendance policy.

  • Is on time for work and ready at start of shift.

  • Initiates goal development consults with supervisor and enters into HR system.
  • Completes self-assessment timely and with contributing comments.
  • Completes all mandatory annual requirements within established timeframe.

Qualifications

Required

  • High School Diploma/ GED
  • Minimum one year experience in customer service administrative or healthcare setting or equivalent education.
  • Strong computer aptitude including basic knowledge of Microsoft Office (Word Excel Outlook)

Preferred

  • Advanced education (Associate or Bachelors)
  • Knowledge & understanding of medical terminology
  • Knowledge & understanding of commercial insurance carriers and standard insurance forms
