The Operations Assistant delivers essential administrative and operational support to Goodwill Southern Californias Workforce & Career Development (WCD) department by managing physical and electronic clerical systems including reporting documentation filing copying typing travel requests invoices check requests expense reporting and reconciliation and database utilization. The Operations Assistant organizes and maintains office supplies managed through the Supply Inventory and supports internal and external events.

Essential Duties & Responsibilities

Event & Meeting Coordination

  • Orchestrate the successful execution of WCD events by seamlessly handling all logistical details from initial planning to room / space reservation to vendor coordination to agenda development to onsite management to clean up and post-event evaluation. This function requires coordination and communication with internal departments as well as utilization of electronic events system.
  • Provide comprehensive meeting support for WCD Leadership by coordinating appointments and follow-up correspondence with stakeholders and creating meeting and event agendas.
  • Streamline event / conference attendance planning and logistics through the timely research and arrangement of travel for WCD staff.

Administrative & Operational Support

  • Support WCD accounting processes by coordinating invoice and payments leadership expense reports monitoring credit card statements and reconciling monthly statements.
  • Coordinates administrative tasks including processing work orders managing signature routing for leadership and providing comprehensive clerical support (filing typing copying scanning).
  • Uphold professional communication standards and maintain strict confidentiality of sensitive information in all written and verbal interactions (email chat phone).
  • Develop and create operations templates tracking/logging forms and customer correspondence.
  • Oversee WCD supply room inventory fulfill requests and order supplies for staff and events.
  • Deliver exceptional customer service to employees Ambassadors and external stakeholders and escalate issues effectively.
  • Collect organize and archive WCD content including success stories for the Company web page collateral materials and physical on-site files.
  • Explore opportunities with new and existing vendors; recommend changes and/or additions to enable cost or efficiency gains.
  • Oversee Participants (TSEs) when needed.

Additional Duties & Responsibilities

  1. This position requires some local travel (up to 25% of the time) a valid CA drivers license and state-required auto insurance is required. Driving record must be acceptable by the companys insurance vendor
  2. Provides administrative/reception coverage as required.
  3. Other duties and special projects as assigned.

Education & Experience

  • High school diploma or general education degree (GED) required.
  • Bachelors degree from four-year college or university preferred.
  • One year of office/clerical experience required.
  • Related relevant and/or direct experience may be considered in lieu of minimum educational requirements as indicated above.
  • Experience with Salesforce or similar CRM preferred.
  • Strong interpersonal communication skills; possess abilities to work with all levels of employees.
  • Ability to maintain confidentiality of sensitive and proprietary information.
  • Ability to work independently with a high degree of reliability accuracy and productivity.
  • Some experience working with diverse populations including those with developmental disabilities preferred.
  • Non-profit experience preferred.
  • Must have advanced knowledge proficiency of computer programs in a Windows environment including Word Excel PowerPoint and Outlook.
  • Team player.
  • Multi-tasker; well-organized with consistent follow through.
  • Knowledge of ADA helpful.
  • Shift flexibility and overtime when needed.
  • Ability to work with minimal supervision.
  • Bi-lingual fluency (e.g. English/ASL English/Spanish etc.) and ability understand another culture as required by the program or local community highly desired.
  • 60 wpm 10 key touch.
  • Possesses a valid drivers license and state-required auto insurance.
  • This position may require some local travel.
  • Ability to handle confidential information.
  • Punctual and dependable attendance.
  • Free from alcohol and drug abuse.
  • Understands the basic philosophy of Goodwill and participates fully in carrying out its mission.
