    Job Summary:The K-12 Office Manager/Registrar is responsible for managing student records coordinating enrollment and registration processes and overseeing the daily operations of the school office. This role requires exceptional organizational skills attention to detail and the ability to communicate effectively with students families staff and external agencies.
    The Office Manager/Registrar is responsible and accountable for overseeing all aspects of enrollment admissions and withdrawals including verification of documentation relating to these areas. The Office Manager/Registrar is also responsible and accountable for overseeing the maintenance of all physical student records in the Academy. The Office Manager/Registrar is responsible for organizing all data as per State Academy and District systems policies and procedures and also oversees the free/reduced lunch program records grades and supervises any office staff member.

    Description of Duties:

    Planning and Organization
    • Coordinate the student enrollment and withdrawal process ensuring proper documentation and record-keeping.
    • Prepare and submit student data reports for state and district compliance.
    • Process and maintain cumulative student records ensuring confidentiality and accuracy.
    • Manage requests for student records including transfers transcripts and verification of enrollment.
    • Oversee the daily operations of the front office ensuring a welcoming and professional environment.
    • Supervise office staff including assigning tasks and monitoring workflow.
    • Provide updates and information to the Director of Student Services & Operations and staff regarding events
    • Maintain student roster

    Staff Management

    • Promotes and maintains a positive and effective school climate by ensuring that all interactions with staff students parents and the public at large are prompt efficient helpful and friendly.
    • Provide leadership and supervision to main office employees
    • Coordinate main office staff schedules
    • Meet/consult with Administrators on an as-needed basis to ensure compliance with regulatory requirements
    • Include main office staff in planning events and training
    • Remain available to Academy staff
    • Provide regular performance feedback to main office staff
    • Develop main office staff skills and encourage growth
    • Train main office staff
    • Establish main office staff daily responsibilities and workloads ensuring smooth operation of the main office
    • Perform the work of employees and other duties as required

    Project Management

    • Provide administrative support to members of school leadership team as needed
    • Prepare and/or assist in submitting and adhering to a budget that encompasses main office needs
    • Maintain Academy written procedures processes surrounding student enrollment and student records.
    • Coordinate and manage report card process and audit grades quarterly
    • Participate as needed in special department projects
    • Supervise Academys student information system and train leadership and office staff as needed
    • Supervise the enrollment process including adhering to state and district guidance surrounding transfers discharges and readmission process for students and the preparation of related records and files
    • Track student admission applications and maintain waitlist
    • Supervises the preparation of student enrollment and attendance report.
    • Supervises the maintenance of student records including assessment results test scores discipline citations medical reports and records and other documents in the schools student information system.
    • Create and manage teacher student and classroom schedules

    Professional Relationships

    • Ensure positive customer-centered approach when dealing with all individuals
    • Bring issues of student/parent concern to the attention of the Executive Director
    • Work closely with the Executive Director and the Academy administrative team to ensure compliance with policies and to ensure procedures are being adhered to and protocols are followed
    • Maintain positive relationships with colleagues administration and staff
    • Inspire respect and trust
    • Maintain a positive attitude; follow instructions; respond to management direction; request support as needed

    Qualifications

    • Bachelors degree required or combination of education experience and training that would produce the required knowledge and responsibilities
    • Previous work experience in a K-12 setting within school operations required
    • Must work well with the public
    • Computer experience required
    • Excellent verbal and written communication
    • Ability to handle confidential information with discretion and professionalism Strong problem-solving abilities and ability to work independently
    • Criminal records clearance

    Physical Demands & Work Environment

    In order to successfully perform the essential duties of this job the employee would ideally be able to meet the following physical demands:
    • Occasionally lift and/or move objects weighing up to 25 pounds.
    • Stand and walk frequently.
    • Withstand all demands presented by outside weather conditions at any time of the year.
    • Withstand a moderate noise level.
