Position: Scheduling Clerk
Status: Permanent Full-Time
Hours: 35/week
Salary Range: $31.91 to $37.98
Location: 25 Central Avenue West Brockville ON
POSITION SUMMARY
Reporting to the Chief Paramedic Services and secondarily to the Deputy Chief the Scheduling Clerk is responsible for maintaining work schedules tracking time and attendance for all scheduled employees. The Scheduling Clerk will work to ensure all shifts are covered to ensure smooth operations and quality of resident care at the facility.
QUALIFICATIONS AND REQUIREMENTS
Education Certification & Licenses
- 2-Year Community College Diploma in office administration or equivalent preferred
- Required to obtain and maintain satisfactory criminal and vulnerable sector
Experience
- Minimum three (3) years relevant experience in a paramedic service health care facility hospital or
Knowledge Skills Abilities & Competencies
- Proficient using Microsoft Office Applications.
- Typing and data entry skills.
- Scheduling experience (UKG Advanced Scheduling)
- Experience in scheduling for a unionized environment.
- Possess outstanding communication and interpersonal skills.
- Ability to manage associated workload undertake multiple tasks and meet deadlines.
- High level of respect for confidentiality for the organization.
- Excellent project/time management organizational interpersonal oral and written communication skills with tact diplomacy and discretion.
- Ability to set priorities manage and adapt effectively to an ever-changing and occasionally complex workload.
DUTIES AND RESPONSIBILITIES
- Work with superintendents/managers to create build and maintain schedules.
- Schedule all Full Time and casual employees preparing the work schedule in accordance with the approved staffing levels and collective agreements.
- Process approved requests for paid time off vacation and other leaves of absence.
- Ensure daily staff replacements are completed for scheduled and unscheduled absence to ensure adequate coverage for all shifts including administration of the call-in process
- Maintains a working knowledge of scheduling and call-in procedures in accordance with facility and organizational policies and collective agreements.
- Attendance tracking for all Provide attendance awareness report monthly.
- Record utilization of leave banks e. statutory holidays vacation days and sick leave for all staff.
- Build orientation schedules to ensure adequate supervision and support for newly hired employees.
- Check time clock punch records against master schedule and noting appropriate changes.
- Utilize scheduling software to prepare change and update both posted and master schedules.
- Accountable for ensuring the onboarding process is completed and all required documentation associated with training orientation and hiring of new staff is accurate and completed by department leaders.
- Conduct the internal expression of interest process for preferred work assignments.
- Provide administrative support to other departments as required.
- Compliance with Health & Safety policies and procedures.
- Other duties as assigned
